Overview

With Flexible Overtime, you can create custom overtime profiles that you can assign to your hourly employees.


Who uses this feature

Things to know

  • Overtime profiles pay overtime based on the rules you create. For example:        

    • Rule 1: After 8 hours in a day, pay 1.5x

    • Rule 2: After 40 hours in a week, pay 1.5x

    • Rule 3: After 50 hours in a week, pay 2x

  • If overtime rules overlap, the employee is paid the higher overtime rate. For example:        

    • Rule 1: After 8 hours, pay 1.5x

    • Rule 2: Work from 12:00 AM-5:00 AM, pay 2x

  • After 8 hours at 12:00 AM, the technician is paid 2x their base hourly rate.

  • You can assign different overtime profiles to all employees—both technicians and office employees.

Create an overtime profile

  1. Go to the top toolbar and click Settings A simple icon representing a settings gear. .

  2. In the side panel, go to People > Payroll.

  3. Under Global Payroll Settings, click Edit next to Overtime SettingsPayroll settings page showing options for editing overtime settings and legal terms.Manage Overtime Rules opens displaying a table of the default overtime rules.        

    Note: For a description of the default overtime profiles, see Manage overtime settings.

  4. Click Create Custom OvertimeManage overtime rules with options to create custom overtime settings and descriptions.Create Custom Overtime opens.

  5. In the Overtime Rule Name field, enter a name for the overtime profile.

  6. Under Overtime Rule 1, click the Type of Overtime dropdown and select how you want to apply the overtime rule:        

    1. Daily—Pay overtime after a number of hours worked in a day

    2. Weekly—Pay overtime after a number of hours worked in a week

    3. Consecutive Days Worked—Pay overtime after working a number of consecutive days within a workweek. For example, in California, if you work six days in a row, on the seventh day of work, you receive overtime pay.

    4. Time of Day—Pay overtime for specific hours of the day

  7. Enter when you want to start paying overtime based on the type of overtime:        

    1. For Daily overtime:                

      1. In the Calculate overtime after field, enter how many hours an employee must work in a day before receiving overtime pay.

      2. Under On these days of the week, select which days you want to apply this overtime rule. Overtime settings with daily type, hours per day, and selected weekdays for calculation.

    2. For Weekly overtime, in the Calculate overtime after field, enter how many regular paid hours of work in a workweek before receiving overtime pay. Form fields for selecting overtime type and hours for calculation.

    3. For Consecutive Days Worked overtime:                

      1. From the Calculate overtime on dropdown, select the number of consecutive days worked in a week when overtime is paid.

      2. In the Calculate overtime after field, enter how many hours an employee must work on the selected day before receiving overtime pay.

                      For example, if you choose to pay overtime on the 6th day after 8 hours, an employee receives overtime pay on the sixth day of consecutive work after working eight hours. Overtime settings for consecutive days worked, including calculation options and hours per day.            

    4. For Time of Day overtime:                

      1. Under Calculate overtime between the hours of, select a time range when employees are paid overtime.

      2. Under On these days of the week, select which days you want to apply this overtime rule.

                      For example, you can create a rule that pays overtime on Saturdays and Sundays from 12:00 AM to 6:00 AM. Overtime calculation interface showing time selection and days of the week options.            

  8. Under Overtime Pay Rate, select whether you want to pay Time and a half or Double time of the employee's hourly base pay rate for the overtime rule. Options for overtime pay rates: time and a half or double time selection.

  9. Click Add overtime rule to set another rule for the overtime profile or, if you're finished, click Save.        

    Tip: To remove an overtime rule, click Delete .

A summary of your saved overtime profile appears in the Manage Overtime Rules table.

Note: You cannot edit or delete the default overtime profiles.
