QBO Onboarding Step 1: Set up QuickBooks Online integration

Overview

The QuickBooks Online Integration helps connect your ServiceTitan account to your QuickBooks Online account and keep your financial information aligned. This guide walks you through the first step on setting up the QuickBooks Online (QBO) integration.


Who uses this feature

  • Administrators, office employees, managers, accountants, and bookkeepers

Feature configuration

  • Account configuration is required to use this feature. Please contact Technical Support for details.

Things to know

  • Contact us if you are operating outside of the US. This requires additional configuration.

  • For Touchless Integration, make sure the GL account names are identical between ServiceTitan and QuickBooks Online.

  • Accounts Receivable and Undeposited Funds are ServiceTitan defaults and should not be used or deactivated.

  • Once the integration is set up, additional employees with the appropriate permissions will have access to export from ServiceTitan to Quickbooks

Set up through the Settings screen

We recommend this setup for users who have admin access in ServiceTitan and can access the Settings option. Account Configuration is required to access the QuickBooks Online Connections screen. Please contact Technical Support for details.

  1. Go to the navigation bar and click Settings > Integrations > QuickBooks Online.

  2. Search for the business unit to which you want to connect and click Connect.

    Note: Alternatively, you can select multiple business units and click Connect on the top of the table.

  3. On the pop-up that appears, log in to your QuickBooks Online account.

Setup through the Batch or Export Transactions screen

We recommend this setup for users who do not have admin access in ServiceTitan but are responsible for handling the batching and exporting of transactions.

  1. Reach out to your Success Manager and let them know you'd like to use QBO.  We can configure your account and have you set up within minutes

  2. Once your first batch is posted, use the batch drop-down menu on the Invoice screen and select Export to Quickbooks Online.

If it is your first time exporting, you will be asked to log into your Quickbooks Online account.  This process will sync each of your Business Units to your Quickbooks Account.

Following this initial transfer, you only need to select the Export to Quickbooks Online option and transfer your invoices without logging back into Quickbooks Online.

Note: If your invoices or payments are not exporting to QuickBooks, check the Pending Export Report in ServiceTitan (Reports > Legacy Reports > Pending Export Report). This report will show you any exporting errors that occur. If you receive an exporting error, refer to Fix common QuickBooks errors.

Disconnect your QuickBooks Online connection

To disconnect your QuickBooks Online connection, use the QuickBooks Online Connections screen to disconnect the business units connected to QuickBooks.

  1. Go to the top toolbar and click Settings > Integrations > QuickBooks Online.

  2. Select the business units you want to disconnect and click Disconnect.

    Note: Alternatively, you can select multiple business units and click Disconnect the top of the table.

  3. At the pop-up, click Disconnect.
