Manage GL Accounts in Centralized Pricebook

Overview

Enable GL Account Management in Advanced Settings to pull default GL accounts from a source tenant, ensuring accurate financial tracking. This article covers how to access the advanced settings, what they include, and how to enable them for seamless integration.


Who uses this feature

  • Owners, general managers, administrators, and centralized call center representatives (CSRs)

  • Applies to all business types

Feature configuration

  • This feature requires an Enterprise Hub (EH) network. Contact your Customer Success Manager to request a network or contact technical support for details.

Things to know

  • Permissions are required to see and access Centralized Pricebook, to learn more see Use Centralized Pricebook in Enterprise Hub.

  • GL Account Management permission is enabled for users with an admin role with Edit Pricebook Items permission.

Enable Advanced Settings permission

To edit advanced settings in the Centralized Pricebook:

  1. In Enterprise Hub, go to User Management.

  2. Select Roles.

  3. Create a new user role or edit an existing user role.

  4. In the Enterprise Hub Permissions tab, enable Edit Advanced Settings permission for Centralized Pricebook. Permissions settings for Centralized Pricebook with highlighted option to edit advanced settings.

Access Advanced Settings in Centralized Pricebook

  1. Go to enterprise-hub.servicetitan.com and log in with your credentials.

  2. Click Centralized Pricebook.

  3. On the Centralized Pricebooks screen that opens, select the Centralized Pricebook you want to edit advanced settings for.

  4. In the side panel, click Settings.

  5. In the Settings screen that opens, select the Advanced Settings tab.

From this tab, you can set up inventory tracking and set up Centralized Pricebook GL account management.

Enable GL Account management

GL Account Management pulls default GL accounts from a source tenant so you can manage them centrally and reduce mapping errors:

  1. From the Advanced Settings screen, toggle Enable Centralized PB GL AccountToggle switch for enabling centralized GL account management with detailed instructions provided.

  2. Once enabled, configure the following settings:        

    1. Select a Source Tenant. This tenant provides the default GL accounts for Services, Materials, and Equipment.                

      Note: Without selecting a source tenant, you cannot enable GL Account Management.

    2. (Optional) Check Map & Create GL to automatically map existing GL accounts or create missing ones. If unchecked, missing GL accounts appear in Push History for manual review. 

    3. (Optional) Check Enable Intacct GL Group field to include Intacct GL Group values to Centralized Pricebook. Existing GL Groups are automatically mapped when possible. If there is no mapping, you can review the details in Push History.                

      Note: New Intacct GL Groups can't be created through this action.

       User selects tenant and checks option to map and create GL accounts.            

  3. When finished, click Save.

Manage GL Accounts in Centralized Pricebook

  1. In the Centralized Pricebook, click Services, Equipment, or Materials, depending on the item you want to update GL account for.

  2. Choose one item or select multiple items to bulk update.

  3. Select the GL Account field and click Edit .

  4. All GL accounts from the source tenant appear.

  5. Choose the account needed and click anywhere outside the field to save it. Pricebook services section displaying various service descriptions and warranty details.

  6. After editing or updating the GL account, push centralized pricebook items to tenant.
