Introduction
This guide covers how to align payroll data with job locations instead of customer records. This helps create accurate Profit & Loss (P&L) reports when using ServiceTitan with QuickBooks.
Problem
Payroll data exports to customer records instead of job locations. This creates separate customer entries in QuickBooks. P&L reports require manual combining of both entries for accurate totals. You want to instead have payroll information tied to location records to eliminate the manual steps.
Solution
Workflow Summary
Adjust payroll alignment by modifying the MasterPay Excel file before importing to QuickBooks. Use the Location Name column to match payroll with job locations.
Manually import MasterPay file to QuickBooks
Go to Reports in the main navigation menu.
Open the Master Pay File report.

Verify that the Location Name column appears in the report. If it’s not in the report:
Click Edit Report.
On the Edit Report screen that opens, select Location Name.
You can select or deselect columns you want to appear on the report here as well.
When you’re finished, click Apply.
If you added or removed columns, click Run Report to run the report again with the new columns included.
When the report has the Location Name column included, click Export to export the report as an MS Excel (XLSX) file.
Open the Excel version of the report on your computer.
Review the Location Name column data before importing to QuickBooks.
Adjust payroll entries in the Excel file to match job locations.
Import the modified MasterPay file to QuickBooks.
Verify payroll entries align with job locations in QuickBooks.
Note: Invoices, payments, bills, and returns export directly to QuickBooks from ServiceTitan. Payroll does not export directly and requires manual processing through the MasterPay report.
