Create cycle counts

Overview

Track selected items linked to inventory locations or templates by creating cycle counts. For optimal management create cycle counts, particularly for trucks equipped with inventory templates.

Create a cycle count

  1. Go to the navigation bar and click Inventory.

  2. In the side menu, click Inventory Counts.

  3. On the Inventory Counts screen that opens, click Create New.A cursor clicking Create New on the Inventory Counts screen.

  4. On the Select Count Type screen that opens, click Cycle Count, then click Next.A cursor selecting the Cycle Count option.

  5. On the Inventory Items screen that opens, go to the Item Details section and click one of the following options:

    1. Inventory Location: Select this option if you need to schedule a cycle count for only one location.

    2. Inventory Template: Select this option if you need to schedule a cycle count at multiple locations with the same inventory template.A cursor clicking the Inventory Template option under the Item List section.

If you selected Inventory Template in the previous step:

  1. Click the Inventory Template dropdown, then select a template.

  2. Click the Inventory Location dropdown, then select one or more locations.

Note: You can only select multiple locations if you selected an inventory template in the previous step. In this case, ServiceTitan creates a separate inventory count list for each location.

3. (Optional) Enter details for the following filters to limit the range of items that will be included in your inventory list:

  • Qty On Hand: Click this field, enter a quantity in the Min or Max field, and then click Apply.

  • Vendor Cost: Click this field, enter a dollar amount in the Min or Max field, and then click Apply.

  • Usage Volume: Click this field, enter a number in the Over or Under field for the number of items consumed within the period selected in the Usage Volume Date Range below, and then click Apply.

  • Usage Volume Date Range: If you entered a Usage Volume, click this field and enter a date range—such as a month, quarter, or period from today's date—or enter a custom start date and end date.

4. Click Generate Item List.

5. In the Item List section, select each item you want to include in the cycle count.

Tips:

  • To select all items that are listed on the screen, select the checkbox at the top of the list next to the Item Name heading.

  • To select all items that match the filters, select at least one item in the list, then click Select all (#) at the top of the list.

  • To view more than 10 items on the screen, go to the bottom of the item list and select a number from the items per page dropdown.A cursor selecting number per page.

6. Click Next.

7. On the Assign Count and Sort Items screen that opens, go to the Count Details section, and enter the following details:

  1. Due Date: Enter the date by which you or your employees should complete the inventory count.

  2. (Optional) Assigned Employees: Click the dropdown then select one or more employees who will count the inventory.

Note: An inventory count must have at least one assigned employee before the count can be completed.

8. (Optional) To change the order in which items appear on the printed count list, go to the Item List section and click a column heading to sort the items:

  • Click a column heading once to sort items in one direction, such as smaller to larger numbers.

  • Click the column heading a second time to reverse the sorting.

  • Click the column heading a third time to remove the sorting and view the original order of items.

9. When finished, click Create Count.

All new inventory counts are considered pending and appear in the Pending tab. To begin actioning a count, see Complete inventory counts.
