Configure communication with custom email templates for Roofing

Overview

ServiceTitan allows you to create custom templates for many communication types, with invoices and estimates being the most commonly used. By using placeholders, you can automatically personalize email content when messages are sent, ensuring each customer receives relevant information specific to their job.

Feature configuration

  • The Edit Business Units permission may be required to configure certain email settings. Please contact the account administrator on your team.

  • The Edit Invoice Settings permission may be required to modify email templates. Please contact the account administrator on your team.

Things to know

Customizing email templates helps create professional, branded messages that reflect your business identity when sending estimates and invoices to customers. Email templates include your company logo, links to your website, and personalized details that make every customer interaction feel professional and consistent.

Best practices

  • Create separate templates for invoices and estimates to ensure appropriate messaging for each communication type.

  • Add BCC recipients for internal record-keeping, such as copying your accounting team on all invoice emails.

Use cases

  • A roofing contractor wants all estimate emails to include their company logo, a personalized greeting, and a link to their customer portal for easy approval.

Customize email templates

Note: The most commonly used templates for roofing contractors are Invoices and Estimates. You can repeat these steps for any template type you want to customize.

  1. Go to the top toolbar and click Settings.

  2. In the side panel, click Invoicing > Email.

  3. On the Email settings screen, select the template type you want to customize from the list. Email settings interface displaying invoice and message placeholders for customization.

  4. In the From section, customize the sender: Input fields for sender name and email in a messaging interface.        

    1. In the Sender name field, enter the sender name that customers see. This is typically your company name or a specific contact name.

    2. In the Sender email field, enter the email address customers see as the sender.                

      Note: If you want your employee email to appear, leave this field blank.

  5. (Optional) In the BCC section, customize the recipient who receives a blind copy of all emails sent using this template. BCC fields for email input, including name and email address sections.        

    1. In the BCC name field, enter the recipient name.

    2. In the BCC email field, enter the recipient email address.

  6. In the Subject field, enter a title for the email. Input field labeled 'Subject' for entering text or information.        

    Tip: Use placeholders to personalize the subject line. For example: "Your invoice from {Company Name}" or "Invoice #{Invoice Number} - {Customer Name}".

  7. In the Body field, enter the content of the email message. Add your company logo, links to your website, or other branding elements as needed. Placeholders for customer information and business details in a message template.        

    Note: You can use placeholders to personalize the email content when the message is sent. Common placeholders include {Customer First Name}, {Total}, {Company Name}, {Invoice Number}, and {Customer Portal Link}.

  8. (Optional) At the bottom of the screen, click Preview to see how the email appears to customers.

  9. When finished, click Save.
