Overview

Enterprise Hub (EH) is ServiceTitan’s multi-tenant platform that enables management across ServiceTitan tenants. In Enterprise Hub, you can set up and manage EH users so they can have a single sign-on into the tenants.


Who uses this feature

  • Owners, general managers, administrators, and centralized call center representatives (CSRs)

  • Applies to all business types

Feature configuration

  • This feature requires an Enterprise Hub network. Contact your Customer Success Manager to request a network or contact technical support for details.

Things to know

  • When you create a new user, they get an email invitation to create a username and password.

  • Roles assigned to users are replicated within tenants with identical names and permissions managed only through Enterprise Hub.

Grant access to User Management

To grant access to User Management for a role:

  1. In Enterprise Hub, click User Management.

  2. Select Roles.

  3. Either create a new user role or edit an existing user role.

  4. In the EnterpriseHub permissions tab, enable the View, Edit user, Create a new user, Manage roles, and Manage MFA permissions for User Management.

    Click Save Changes. Users assigned this role can now see the User Management module in Enterprise Hub.

Access User Management

Access user management by going to enterprise-hub.servicetitan.com and logging in with your credentials.

You can create and assign users to different tenants and manage user roles and permissions. For more about user roles, see Manage user roles in Enterprise Hub.

In Enterprise Hub, click User Management

User Management has two sections:

  • Users: Create and edit users

  • Roles: Create user roles and assign permissions to users

Create users

You can create users and tenants, and assign tenants to users in bulk.

Note: Users and their assigned tenants created in Enterprise Hub have the same users created inside those tenants. For example, if you create a user in Enterprise Hub and assign seven different tenants to that user, the same user is created in all seven tenants with the same details. If the user exists in the assigned tenant, then the Enterprise Hub user is mapped to the existing user.

To create a user:

  1. Access User Management.

  2. In the side menu, click Users.

  3. In the All Users section, click Add User.

  4. In the Add user details section, enter the user’s basic information.

Note: The username is the same as the email.

  1. Click Next Step.

Add multiple users

If you want to add multiple users, click Add Another User.

  1. Click Edit to update user details.

  2. Click to delete a user.

  1. Click View Role Permissions to view the user role’s permissions. To learn more about role permissions, see Set up Enterprise Hub role permissions.

8. In the Role Permissions window that opens, you can view the user's Enterprise Hub and ServiceTitan permissions.

9. When finished viewing role permissions, close the window and select a role.

Note: You should assign at least one user role.

  1. Click Next Step.

  2. In the Assign Tenants section, click Assign Tenants.

  1. If you need to change tenant permissions, click Manage Roles.

  2. On the role permissions screen, enable or disable permissions.

  3. When finished, click Finish.

    Tip:  You will get an invitation to create a username and password.

Edit users

  1. Access User Management.

  2. Click Moreand select Edit to edit a user.

  3. In the Account Info section, make the necessary changes.

    Note: You can’t edit email or username.

  4. In the Assigned roles section, view role permission and assign new roles.

    Note: You can’t change user permissions. You can only edit the permissions of assigned roles.

  5. In the Assigned tenants screen, you can assign more tenants.

    Tip: To remove a tenant, click Unassign Selected Tenants.

  6. When finished, click Save Changes.

Add tenant groups

  1. Go to User Management.

  2. Select a user.

  3. Go to the Tenants and Groups tab.

  4. Add a tenant group to the user. For more, see Create a new tenant group.

  5. View tenants assigned by:

    1. Tenant Groups: The groups a tenant is a part of.

    2. Individual tenants: Tenants that are not part of any group.

Note: Make sure the user has access only to the group they are assigned to. Tenants assigned by groups must be removed by unassigning the tenant from the group, or removing the user from the group.

Bulk assign tenants to users

In the Users section, you can bulk assign tenants to multiple users.

  1. Select the users you want to assign tenants to.

  2. Click Actions and select Assign Tenants.

  3. Select the tenants you want to assign to the user and click Assign Tenants.

  4. In the confirmation window that opens, review your selection and click Assign Tenants to proceed. To exit without making changes, click Cancel. A confirmation message appears when the action is complete.

You can view the assigned tenants by going to the Assigned Tenants tab for the relevant users.

Search for users

In the All Users section, enter the username you are looking for.

Filter users

In the All Users section, filter users by status:

  • All

  • Deactivated

  • Active

  • Invite Sent

  • Errors occured

  • Creation in progress

You can also filter users by user roles.

Manage user statuses

Note: You can access the Actions option only if you have enabled the Edit user permission. For more information, please contact the Enterprise Hub administrator.

Note: When the user is activated, they can use the previous username and password, and all tenants will become active in the My Tenants section and in ServiceTitan.

  • To deactivate users, click the Actions dropdown and select Deactivate.

If the user has assigned tenants, they will be unassigned from the user, and users created in the My Tenants section and in ServiceTitan will be deactivated.

  • To resend invitations to users, click the Actions dropdown and select Resend Invite.

If the selected users don’t receive an invitation to create a new account, they receive another invitation.

Edit account settings

To edit your account settings, click your profile and select Account Settings.

To change your password:

  1. Click Change Password and update your password.

  2. Click Change Password to save changes.

FAQ

Where can I find information on setting up and using Centralized Pricebook?

To find information about the Centralized Pricebook setup, go to Users > Role Permissions in Enterprise Hub. For more, see Manage users in Enterprise Hub.

What can I do if I can't log in to Enterprise Hub?

Follow one of the steps below:

  • Enter your username (not your email address) to log in.

  • Click Forgot Password? on the login page and follow the instructions.

  • If you receive an error during password reset, contact technical support immediately.

  • Make sure you're using the correct URL: enterprise-hub.servicetitan.com.

  • Try accessing Enterprise Hub in Google Chrome incognito mode, then clear your browser cache.

How do I get access to Enterprise Hub?

If you are in the Onboarding stage, reach out to your Onboarder. If you are in the Success stage, reach out to your Customer Success Manager.

What can I do if the newly created user can't see the activated account email?

Click Resend in the User Management module and the system will send a new activation email.

What should I do if my email is already in use by individual tenants when creating an Enterprise Hub user?

If a user's email is already in use by a ServiceTitan tenant, creating an Enterprise Hub user with the same email will result in automatic mapping rather than merging. This means the Enterprise Hub user and tenant-level user remain separate but are linked. This allows the Enterprise Hub user to access the tenant with the same permissions and data as the existing tenant-level user. If the tenant wants to preserve the original tenant user's information and allow future reversion to tenant-only access, we recommend creating the Enterprise Hub user using the same email address.

Do customers need new credentials for Enterprise Hub or can they use their ServiceTitan credentials?

Enterprise Hub users have new credentials that allow access to multiple tenants from one location. Tenant (GO) credentials don't work for Enterprise Hub.

How do I reset my password for Enterprise Hub?

  1. Go to enterprise-hub.servicetitan.com.

  2. Click Forgot Password?

  3. Follow the password reset instructions sent to your email.
    Note: Enterprise Hub passwords are separate from tenant passwords.

Can I use special symbols in my Username and Name?

 No, please avoid using special symbols when creating a Username and a Name.

Before creating a user in Enterprise Hub, ensure email addresses are up-to-date in ServiceTitan.

If you created the wrong email address: 

  1. Ensure the emails match between the tenant user and the Enterprise Hub user.

  2. If the emails don't match, update the tenant user's email to match the Enterprise Hub user's email.

  3. Unassign the tenant from the Enterprise Hub user.

  4. Reassign the tenant to the Enterprise Hub user. The user is now automatically mapped to Enterprise Hub.

How do I update the email address for an Enterprise Hub user?

  1. Create a new Enterprise Hub user account with the updated email address.

  2. Assign all necessary tenants to the new user account.

  3. Deactivate the old user account with the previous email address.
    Important: Reports, dashboards, and shared content must be reshared with the new user.

How do I deactivate or delete a user from the Enterprise Hub?

You can't delete a user, you can only deactivate them.

  • In Enterprise Hub, go to User Management > Users.

  • Click the Actions dropdown and select Deactivate.

How do I transfer an Enterprise Hub user to a local tenant user when their role changes?

  1. Deactivate the user in Enterprise Hub.

  2. Activate the user in the tenant.

  3. Ask your customer success manager to change the role to a tenant level role.

This process lets you move users from Enterprise Hub to local tenant access.

What can I do if the newly created user can't see the activation email?

In User Management, click Resend to send a new activation email.

What should I do if the email address already exists when creating a user?

If the email is already in use:

  • The user may exist in another Enterprise Hub network.

  • Automatic mapping occurs if the email matches an existing tenant user.

  • Use a different email address or contact technical support for assistance.

  1. Ensure email addresses match exactly.

  2. Update the tenant user's email if needed.

  3. Unassign the tenant from the Enterprise Hub user.

  4. Reassign the tenant to trigger automatic mapping.

Why can't I see a user in Enterprise Hub even though they have an Enterprise Hub role in a tenant?

This usually means the user belongs to a different Enterprise Hub network. Contact technical support to verify or transfer the user.

What is my username for Enterprise Hub?

Your username is your work email address. If you're unsure or unable to log in, please contact your administrator for assistance.

Why can't I see or manage permissions for certain Enterprise Hub (EH) users?

You can't manage these users because they may belong to a Partner Network, such as external call centers or marketing agencies, or they may not belong to any network but still use external services.

Instead of creating individual user accounts for each external agent, the tenant is added to a Partner Network. Because these users are managed externally, they don't appear in your Enterprise Hub user list, and their permissions are maintained by ServiceTitan to ensure security. To learn more about Partner Networks, please contact your Customer Success Manager (CSM) or Technical Support.

Can I use Enterprise Hub credentials for mobile apps?

No. Mobile apps require tenant-specific credentials.
