Collect deposits on sold-for-later estimates in the ServiceTitan Field Mobile App

Prev Next

Overview

After you sell an estimate and schedule the work for later, you can collect a deposit directly in the Field Mobile App. The deposit carries over to the follow-up job when it's booked, making sure the right balance shows on the final invoice. You can also set or adjust a deposit amount before an estimate is sold—when you share a proposal with a customer by email or text — so the amount they see matches what you intend to collect.

Note: Do not send estimate deposits by email or text after the estimate is sold. This won’t update the deposit amount. Starting in version 25.0, deposit fields will be locked when sharing by email or text if any payment has already been collected on the estimate.

Things to know

  • This workflow is only available after tapping Perform work later when selling an estimate. If you tap Perform work now, you'll then select Continue and collect payment as you normally would when finalizing the job and invoice. Estimate sold confirmation with options to perform work now or later.

Tip: If you accidentally marked an estimate as Sold for now on an active job, you can change it to Sold for later to collect the deposit. For more, see Change a sold-for-now estimate to sold-for-later and collect a deposit in the ServiceTitan Field Mobile App.

If your office has set a deposit default—either a global default for the account or a default on this specific estimate—that amount is pre-selected for you as and labeled as Default when you reach the deposit Amount field. A default set on the specific estimate always overrides the account's global default.

  • Deposits carry over to the invoice on the follow-up job based on your office's auto apply rules for payments. Deposits are only listed on the initial job's printed invoice if your office:

    • Uses a Template Manager template design that contains the Invoice Payments and Invoice Price Modifiers components.

    • Uses the Price Information component on the legacy non-DTE print view.

  • The names of certain screens, tabs, and so on may be different based on your selection in Menu > Settings. For more, see Show Residential or Commercial terms in the ServiceTitan Field Mobile App.

Best practices

  • Confirm deposit rules with your office to ensure that when and how you collect deposits aligns with your company's practices.

Use cases

  • As a Residential Service and Replacement technician, you sell an AC replacement to be installed next week. You collect a 25% deposit in the field, which shows on the invoice and gets applied to the final install job.

  • As a Commercial Service and Replacement technician, you sell an estimate for a multi-day job and collect a deposit. Office staff book the follow-up visit with the deposit auto-applied.

  • As a Residential Construction technician, you collect a deposit on a remodel estimate. The deposit links to the construction project so it's visible on reports and budgets.

  • As a Commercial Construction technician, you sell the next phase during a site visit. You collect a deposit and ServiceTitan tracks it to the correct job.

Set or adjust a deposit before sending a proposal in the Field Mobile App

  1. From the estimate details screen, tap the Share, then tap Email or Text Message.

Share Proposal menu highlights options to send it by email or text message, with print and QR code alternatives.

  2. On the Review Estimates screen, select the estimate option(s) you want to send, then tap:

    • Continue With All Eligible

    • Share Remaining, if any options don't meet your office's pricing requirements

Review Estimates screen highlights Share Remaining and Continue With All Eligible options for roof proposals.

  3. On the Email Proposal or Text Proposal screen, under Options, turn on Collect deposit for any estimate option that needs a deposit.

Email proposal screen highlighting enabled deposit collection with an 18 percent deposit amount of $1076.

  4. Review the pre-filled Deposit amount. It's pre-filled from this estimate's own default if one is set, otherwise from the account's global default, or left blank if neither is set. Edit the % field or the $ field—changing one automatically recalculates the other.

  5. Turn off Collect deposit for any option that doesn't need one—for example, if you already collected a deposit for it in person.

  6. Tap Send Proposal.

Note: Do not send estimate deposits by email or text after the estimate is sold. This won’t update the deposit amount. Starting in version 25.0, deposit fields will be locked when sharing by email or text if any payment has already been collected on the estimate.

Note: If the estimate is hard blocked (for example, its price is below your office's required minimum), the Collect deposit toggle and Deposit amount fields are shown disabled until the block is resolved. If the estimate is only soft blocked, the toggle and fields work normally.

After you send the proposal, the customer opens the link in the new Customer Portal or regular online estimates and must pay the deposit you set before they can sign.
