Override estimate deposit defaults in the Field Mobile App to match each job

This enhancement brings the deposit amount your office already configured into the Field Mobile App, and lets a technician set the deposit for a single estimate before sending a proposal for signature.

What's changing

Before this enhancement, the Field Mobile App offered a fixed choice of 10 percent, 25 percent, 50 percent, or a custom amount when a technician collected a deposit, with no view of the global or estimate level default the office had already configured, so technicians guessed or re-entered a number that already existed. There was also no way for a technician to set a deposit for a single estimate before sending a proposal for signature. Now the Collect Deposit screen pre-selects the office amount and labels it Default, and a Collect Deposits toggle with linked percent and dollar fields appears when a technician shares an estimate by email or text, so the deposit the homeowner sees at signature is the one the technician set.

How it works for your industry

Roofing and Exteriors
  • A sales representative inspecting storm damage sells a full roof replacement, selects Perform Work Later so the crew and materials can be scheduled, and taps Collect Deposit. The 30 percent your office configured is already selected and labeled Default, so the deposit that funds the material order is taken on site instead of confirmed by phone.
  • A representative presenting a roof replacement adds gutter and downspout replacement as a separate estimate. Sending both proposals by email, the representative leaves the standard deposit on the roof and lowers the deposit on the gutter work, so a smaller scope does not carry the same up-front cost as the main job.
  • A homeowner wants to compare bids before committing. The representative texts the proposal with Collect Deposits turned on and the amount set, and the homeowner signs and pays that exact deposit later in Customer Portal, with no follow-up call from your office.

How to prepare

Have an administrator reach out to Support or your Customer Success Manager (CSM) to have Collect Deposits via Online Estimate, Payment Collections, and any prerequisite configurations enabled.

Set your deposit default. Go to Settings, then Estimates, then Estimate Deposit, turn on the default percentage, and set your global deposit percentage. Set a deposit on an individual estimate where a job needs a different amount. An estimate level deposit takes precedence over the global one.

Turn on the deposit workflow for your accounting team. Go to Settings, then Payments, then Invoicing, then Payment Collections.

Decide who can change a deposit in the field, then grant the permission. Override Default Deposit for Online Estimates is a new technician permission. It is off by default for every role, and it controls only the Collect Deposits toggle on the proposal sharing screen. It does not affect the Default amount on the Collect Deposit screen, which all eligible technicians see. Where the permission is off, the sharing screen is unchanged.

Confirm your homeowners are on Customer Portal 2 or are using online estimates while logged out. Customer Portal 1 is not supported for this workflow.

Bookmark any knowledge base articles or Academy videos for team training, and brief your technicians and sales representatives on when a per-estimate deposit is appropriate.
