Organize equipment into systems and pinpoint each unit's location and service areas

Equipment Systems is a new feature that lets you group related equipment into a single system, record exactly where each unit sits, and record which spaces that unit serves and each equipment’s physical location at the service location.

What's new

Until now, equipment records had no formal way to describe relationships or place. Multiple units that made up one heating, ventilation and air conditioning (HVAC) system were stored as separate, disconnected records, so the link between them lived only in someone's head. Location and coverage were recorded in tags, memos or custom fields, which meant nothing was searchable and nothing could be filtered. Now you can group related equipment into a system with proper parent and child relationships, assign each piece of equipment one Physical Location and as many Service Areas as it serves, and filter by either on the equipment landing screen and in the attach equipment drawer when booking a job. Areas are built as a hierarchy up to five levels deep for each service location, for example Building A then Floor 3 then East Mechanical Room then Rack 2. Technicians working in the ServiceTitan Field Mobile App can also capture precise coordinates for a unit and attach photos that show where it sits.

How it works for your industry

Residential Service and Replacement
  • A heating, ventilation and air conditioning (HVAC) company groups a condenser, air handler and thermostat into one system, so a preventive maintenance (PM) visit covers the whole system rather than three unrelated records.
  • A plumbing company records the Physical Location of a tankless water heater as Garage then North Wall, so the technician does not hunt for it in a finished basement.
  • A technician swaps a failed evaporator coil and detaches it from its parent unit. The equipment record stays on the location with its full history, and only the relationship changes.
Commercial Service and Replacement
  • A property manager reports a warm case in the produce aisle. A dispatcher filters equipment by the Produce Aisle service area and sees the one refrigeration system that serves it, instead of twelve loose records.
  • A multi-floor office building has rooftop units (RTUs) that each serve different floors. Assigning service areas to each rooftop unit means a complaint from Floor 3 points straight at the unit responsible.
  • A technician booking follow-up work filters the attach equipment drawer by Building B, selects every matching unit at once, and attaches them to the job in a single step.
Residential Construction
  • A builder bulk-imports equipment for a new development and uses the import template to set each unit's system and parent relationship in one file.
  • Areas are built as Building then Floor then Unit, so equipment installed across a multi-unit build stays organized as the project progresses.
  • A project manager filters by floor to confirm every unit on a level has been installed and recorded before handover.
Commercial Construction
  • An electrical contractor records the Physical Location of each distribution panel down to the room and rack, so commissioning teams find them without an escort.

  • Service areas record which parts of a building a rooftop unit covers, giving context when a section of the building reports a problem.
  • A technician captures coordinates for equipment on a large flat roof, so a return visit does not start with a search.

How to prepare

Confirm your account has Equipment Systems and Physical Location and Service Areas turned on. These configurations are being enabled for all eligible accounts with this release, along with any prerequisite configurations. If you do not see them, have an administrator reach out to Support or your Customer Success Manager (CSM) to have them enabled. Note that technicians need the ServiceTitan Field Mobile App to capture coordinates and location photos.

Identify which service locations will benefit most. Large commercial sites, multi-building campuses and multi-unit residential properties gain the most, because that is where similar equipment is hardest to tell apart.

Plan your area naming before anyone starts building hierarchies. Areas are shared across every equipment record at a service location, so agree on a convention such as Building then Floor then Room then Zone first. Renaming an area applies everywhere at that location, and deleting one removes it from every record there.

Train office staff and technicians on the difference between a Physical Location, which is where a unit sits and is a single selection, and a Service Area, which is what a unit serves and can be several selections. Equipment systems carry service areas only, because a system spans more than one place.
