Manage your schedule from the field with a mobile calendar in the Field Mobile App

Prev Next

The mobile calendar is a new feature that gives technicians a calendar view in the ServiceTitan Field Mobile App so they can view their full schedule, spot open time, book job appointments, and create Non-Job Events directly from their mobile device.

Schedule for January includes various appointments and tasks throughout the day.

What's new?

Before, technicians in the ServiceTitan Field Mobile App could only see their appointments in list form. There was no way to view free time between appointments or create Non-Job Events (NJEs) from mobile. With the Mobile Calendar, technicians now have a calendar view that shows their full schedule and highlights open time gaps with duration labels. Technicians can also create NJEs directly from their device. Calendar data is cached for up to seven days so technicians can view their schedule and queue changes even without a connection.

Resources

Before and After

Before (Current)

  1. A customer calls a technician to ask about booking a follow-up visit.

  2. The technician opens the Field Mobile App and sees only a list of jobs with no time gaps shown.

  3. The technician cannot easily determine their own availability and calls the office for help.

  4. A dispatcher checks the Dispatch Board and relays available time slots back to the technician.

  5. The dispatcher creates the appointment on behalf of the technician.

Impact: Technicians find it difficult to respond to availability questions on their own. The office must step in to check the schedule and book the appointment, which slows the process and increases calls to dispatch.

After

  1. A customer calls a technician to ask about booking a follow-up visit.

  2. The technician opens the Calendar in the ServiceTitan Field Mobile App.

  3. A time gap is visible between appointments.

  4. The technician taps Add > Book Job, enters the customer and job details, and confirms.

  5. The new appointment appears on the technician's calendar and on the office Dispatch Board.

Impact: Technicians can check their own schedule and book appointments directly from the Field Mobile App, reducing calls to the office and letting them respond to customers faster in the field.

How it works for your industry

Residential Service and Replacement

  • A technician finishing a furnace tune-up receives a call from a neighbor asking for a HVAC inspection later that day. The technician opens the calendar, sees a two-hour free gap after the current job, taps Add > Book Job, and books the inspection without calling the office.

  • A technician wants to block 30 minutes at noon for a break. They tap Add > Create Non-Job event, enter a name, set the time, select a timesheet code, and save. The block appears on their calendar and on the Dispatch Board so dispatchers know not to schedule over it.

  • A technician's water heater replacement runs long. They open their calendar, find the next available slot that works, and reschedule the following appointment by filling out the reschedule form and entering a note about the delay.

Commercial Service and Replacement

  • A commercial HVAC technician at a multi-tenant office building is asked by the property manager to schedule a follow-up inspection the next morning. The technician opens the calendar, finds an open slot, and books the appointment on the spot.

  • A technician needs to mark a two-hour compliance training block during a slow period. They tap Add > Create Non-Job event in the calendar, create an NJE with the appropriate timesheet code, and confirm. The block is visible to dispatchers and prevents double-booking.

  • A technician finishes a rooftop unit inspection ahead of schedule. They switch to the calendar, find the next scheduled preventive maintenance visit, and use the reschedule form to move it earlier in the week to optimize the route.

Residential Construction

  • A technician on a rough-in phase has an unexpected site delay. They open the calendar, find a free gap later in the day, and create an NJE for a materials pickup stop so the time is accounted for on their timesheet.

  • A technician gets a callback request from a homeowner about a warranty inspection. They check the calendar for availability and book the appointment without involving the office.

Commercial Construction

  • A lead technician wants to reserve two hours at the end of the day for crew coordination. They create an NJE with the correct timesheet code so the time is recorded and visible to the project manager on the Dispatch Board.

  • A technician finishes a punch-list inspection early and has open time. They tap Add > Book Job in their calendar and book a nearby job appointment that the office had flagged for follow-up.

How to Prepare?

  1. Have an administrator turn on the new View Calendar permission for technicians that will be using the calendar workflow.

  2. Confirm that permissions for job booking and Non-Job Event creation from the Field Mobile App are configured correctly for your technician roles.

  3. Train technicians on the calendar view and walk through how to create NJEs and book job appointments directly from the Calendar tab in their Field Mobile App.

  4. Align with dispatchers on how technician-created appointments and Non-Job Events will appear on the Dispatch Board, and communicate any booking guidelines technicians should follow when scheduling jobs from mobile.

  5. Bookmark the ServiceTitan help site for updated documentation on Mobile Calendar after the feature goes live.
