Control Intacct GL Groups and Expense Accounts from Centralized Pricebook

This improvement to Centralized Pricebook helps manage accounting fields across multiple tenants for consistent financial tracking.

Settings for managing GL accounts with options for mapping and enabling features.

What's changing?

Previously, the Intacct general ledger (GL) group and expense account values had to be added and maintained separately in each tenant. Now, with centralized management, you can define and apply these fields once for all tenants. The Intacct GL Group field is now available via a new checkbox in the Centralized Pricebook's Advanced Settings. The Expense Account field appears by default without any setup required.

  1. Go to each tenant's Pricebook.

  2. Navigate to the GL account management section.

  3. Manually set the Intacct GL Group for Services, Materials, and Equipment.

  4. Repeat across all tenants to maintain consistency.

  5. Manually add or manage Expense Account values per tenant.

Impact: Time-consuming and error-prone setup across multiple tenants.

Try the current workflow in your account.

After

  1. In Enterprise Hub, click Centralized Pricebook.

  2. In Advanced Settings, enable Enable Centralized Pricebook GL Account Management.

  3. Check the box for Enable Intacct GL Group field.

  4. Set the Intacct GL Group and Expense Account values in one place.

  5. Values apply automatically to all tenants.

Impact: Reduces repetitive setup, ensures consistent financial configuration, and simplifies maintenance.

Residential Service and Replacement

  • A technician installs a new water heater. The related expense is mapped to the correct expense account from Centralized Pricebook.

  • A manager reviews service revenue by item group, which reflects centralized GL Group settings.

  • Bookkeepers prepare end-of-month financials knowing all tenant accounts use the same GL mapping.

Residential Construction

  • A builder uses multiple tenants for different regions. The Intacct GL Group field keeps accounting aligned across projects.

How to Prepare?

  1. Have an administrator reach out to Support or your CSM to have Centralized Pricebook enabled in your Enterprise Hub account.

  2. Confirm that your team uses Centralized Pricebook and Intacct integration.

  3. Enable the Advanced Settings permission in User Management within Enterprise Hub

  4. Have an administrator turn on the Enable Centralized Pricebook GL Account Management permission in the Advanced Settings tab in Centralized Pricebook.

  5. Align with your accounting team on the standard GL Group and Expense Account structure.

  6. Train bookkeepers and financial approvers on where to view and manage these fields.

  7. Check permissions to ensure relevant roles can access Centralized Pricebook settings.
