What's changing

Before, when deposit collection was turned on, customers had to pay the deposit before they could accept an online estimate. There was no way to sign now and pay later. Now, administrators can choose when the deposit is collected in Settings. With Allow deposit payment later selected, the customer signs the estimate and then chooses Pay now or Pay later. They can return to the same online estimate and pay when they are ready. If a sold estimate still has an unpaid deposit, your office can send it again from the Estimate Email screen to collect the deposit. Companies already collecting deposits stay on Require deposit upon signature until an administrator changes the setting.

1.Go to Settings > Estimates > Estimate Deposit, turn on the default deposit toggle, and enter a deposit percentage.
1.Go to Settings > Estimates > Estimate Deposit, set your default deposit, select Allow deposit payment later, and click Save.
2.Send the estimate from the Estimate Email screen.
2.Send the estimate from the Estimate Email screen with Collect Deposit turned on.
3.The customer clicks Sign and Accept and signs the estimate.
3.The customer clicks Sign and Accept, signs, clicks Accept and Continue, and then selects Pay later.
4.The customer must pay the deposit to finish accepting the estimate. If they are not ready to pay, the estimate stays unaccepted.
4.When ready, the customer opens the estimate and clicks Pay Deposit. ServiceTitan records the deposit payment without creating an invoice.
5.If the deposit is still unpaid, open the Estimate Email screen and send the sold estimate again to collect it.
⚠ customers who need a few days to pay cannot commit to the job online, so your team works around ServiceTitan to keep the sale.
✓ You keep the signed estimate today and collect the deposit from the same link when the customer is ready, without creating early jobs or invoices.

How it works for your industry

Residential Service and Replacement
  • A customer signs a high-efficiency furnace replacement estimate on a Friday night but wants to pay the deposit after payday. They select Pay later, and your office sees the signed estimate first thing Monday.
  • A sales representative leaves an in-home visit without a deposit because the customer wants to check with their spouse. The customer signs online that evening and pays the deposit two days later from the same link.
  • A CSR notices a sold water heater replacement with no deposit collected. They open the Estimate Email screen and send the sold estimate again so the customer can pay.
Residential Construction
  • A customer signs a kitchen remodel estimate but needs time to move funds before paying the deposit. Your team keeps the signed estimate and starts planning materials while the deposit is pending.
  • An office manager reviews sold estimates with unpaid deposits before the weekly schedule meeting. They send each one again from the Estimate Email screen to prompt payment.
  • A customer signs a bathroom addition estimate on their phone and returns from their computer later to click Pay Deposit from the estimate view.
Roofing and Exteriors
  • A customer signs a full roof replacement estimate after the inspection but wants to pay the deposit after their bank transfer clears. They select Pay later, and your team holds the signed estimate while the deposit is pending.
  • A sales representative sends a siding estimate after a storm-season inspection. The customer signs that night, then returns two days later and clicks Pay Deposit from the same link.
  • Your office reviews sold gutter and window estimates that still have no deposit. They open the Estimate Email screen and send each sold estimate again so the customer can pay before the job is booked.

01
If you don't already collect deposits through online estimates, have an administrator reach out to Support or your Customer Success Manager (CSM) to have deposit collection on online estimates and any prerequisite configurations enabled.
02
Decide which deposit timing fits your sales process. Choose Require deposit upon signature or Allow deposit payment later in Settings > Estimates > Estimate Deposit.
03
Train office staff to check whether a deposit was collected on the Estimate Email screen and to send sold estimates again when a deposit is still unpaid.
04
Align your sales team on how to explain the Pay later option to customers.
