Add serialized items to invoices in the ServiceTitan Field Mobile App

Prev Next

This is a new feature that enables technicians to select or enter serial numbers for serialized inventory items on invoices in the ServiceTitan Field Mobile App, ensuring serial number data is captured at the point of service.

What's new?

Previously, technicians using the Field Mobile App could add serialized items to invoices without being prompted to enter a serial number. This meant serial numbers had to be assigned later in the office, creating extra steps and the risk of inventory mismatches. Now, when a technician adds a pricebook item marked as tracked by serial number, the app prompts them to select or enter the correct serial number before saving the item. For items already stocked on the truck, this works without an internet connection. For items not on the truck, a pricebook search is available when connected.

Resources

Before and After

Before (Current)

  1. Open the invoice on the Field Mobile App.

  2. Search the pricebook and add a serialized material or equipment item to the invoice.

  3. The item is added without a serial number prompt.

  4. Office staff must later match the invoice item to the correct serial number in ServiceTitan.

  5. Any mismatch must be corrected manually before the job can be closed out accurately.

Impact: Serial number assignment happens after the fact, increasing the risk of inventory reconciliation errors and requiring additional office follow-up.

After

  1. Open the invoice on the Field Mobile App.

  2. Search the pricebook and tap a serialized material or equipment item.

  3. The app prompts you to select or enter a serial number. For items on your truck, select from the available list. For items not on your truck, search the pricebook while connected.

  4. Confirm that the number of serial numbers matches the quantity of the item, then save.

  5. If you try to complete the job with missing serial numbers, the app alerts you before closing out.

Impact: Serial numbers are captured in the field at the time of service, reducing back-office corrections and improving inventory accuracy.

How it works for your industry

Residential Service and Replacement

  • Track furnace and condenser serial numbers right from the driveway so the office can see which unit was installed at each home.

  • Capture water heater serials on the invoice so warranty calls and future flush visits line up with the right tank and install date.

  • Record serials when swapping comfort accessories, such as zoning panels or thermostats, so repeat visits tie back to the right equipment.

Commercial Service and Replacement

  • Log rooftop unit serials during service or replacement so warranty work at strip malls and office parks links to the right piece of equipment.

  • Capture serial numbers for pumps, boilers, and other plant equipment on the invoice so building owners get clean records for audits.

  • Track serials for repeated repairs on the same unit so you can show when a piece of equipment has become a replacement lead.

Residential Construction

  • Record serials for HVAC and plumbing equipment during rough and trim stages so final turnover packets match installed units.

  • Capture serials for tankless heaters and packaged units by lot or phase so you can find them later without digging through paper.

  • Help field leaders verify that the right units are installed in each plan type by checking serials on job invoices in ServiceTitan.

Commercial Construction

  • Capture serials on large multi-stage units at start-up so commissioning paperwork and job invoices share the same data.

  • Record serials for pumps, control panels, and valves as they are signed off in the field so closeout documents stay aligned.

  • Help project managers prove what was installed on each floor or zone by pulling invoices with serial details from ServiceTitan.

How to Prepare?

  1. Have an administrator ensure you are using the ServiceTitan Inventory module. If your account is not set up for serialized inventory, have an administrator reach out to Support or your Customer Success Manager to have the Inventory Module configuration enabled.

  2. Confirm which Pricebook items should be treated as serialized inventory and mark them as Tracked by Serial Number in ServiceTitan, linked to the right truck inventory.

  3. Identify the technicians and install crews that most often handle high value equipment and plan short training sessions for them.

  4. Train technicians on the new Field Mobile App invoice flow, including how to search for serials, scan barcodes, and edit serial numbers on invoice items.

  5. Align your office process for warranty claims, asset records, and inventory so the team knows where to find serial numbers on invoices and reports.

  6. After rollout, spot-check a sample of jobs each week to confirm serials appear on invoices, in inventory as Sold, and in any downstream reports you rely on.
