What is causing the wrong item to be added to invoices for a membership and how can I easily find and fix these memberships?

Problem

The wrong code is being added to memberships. This code does not exist in the pricebook, but the billing template still includes it.

Solution

Fix the billing template to prevent the wrong code from being added to more membership invoices. Then, find and fix the incorrect memberships.

Fix the Billing Template

  1. Go to Settings A simple icon representing a settings gear. > Invoicing > Membership Types.

  2. Click Edit for the Membership Type that needs to be fixed.

  3. Click Billing > Billing Template.

  4. Remove or update the wrong task from the billing template.

  5. Save your changes.

Find and fix incorrect memberships

  1. Go to the navigation bar and click Reports.

  2. Open the Active Memberships report.

  3. Look for the membership type in question that was sold, especially around and after the date you noticed the issue.

  4. For each membership found, go to the customer's membership.

  5. Edit the membership.

  6. Check the Billing Template. If the incorrect task is added to the billing template, manually edit the membership to fix it. You can also cancel and resell the membership with the correct dates and template.
