Overview

Use the Project Status alert type to create an alert that notifies you and your team when another employee edits a project's status.


Who uses this feature

  • Project managers, accountants, administrators, and estimators

  • Primarily for Residential Construction and Commercial Construction business types

  • Applies to all trades

Things to know

  • You can set up alerts for any project status or substatus.

  • You can set up a single alert for multiple statuses.

Use cases

  • Updating the status of a project to Pre Scheduling triggers an alert to your warehouse manager so they can begin procurement through requisitions.

  • Updating the status of a project to Permits Required triggers an alert to your office staff so they can file the appropriate paperwork.

  • Updating the status of a project to Pre Completion triggers an alert to your project manager so they can review the project to ensure all purchase orders have been received, payments are applied, and any other tasks required are completed before closing the project.

Create an alert for project status

You can create project status alerts to:

  • Increase efficiency by automating how information is shared between departments.

  • Keep track of high-priority projects that have multiple phases.

  • Save clicks and time using the email alert, which provides a link to the project that prompted the alert.

To create an alert for project status:

  1. Go to the navigation bar and click Settings A simple icon representing a settings gear. .

  2. In the side panel, click Integrations > Alerts.

  3. In the Alerts section that opens, click AddUser interface for setting up alerts with options to add, activate, or deactivate notifications.

  4. In the Add alert window that opens, enter the alert details:        

    • Type: Select the Project Status alert.

    • Delivery Method: Select the method by which you want to send the alert.                

      Note: The Both Email and SMS option is selected by default.

    • Recipients: Enter the names of the employees who you want to get the alert.

    • Project Status: Select the project status you want to be notified of. You can select more than one status or substatus within the same alert. Form for adding project status alerts with various options and recipient fields.

  5. When finished, click Save.

Example

An employee updates the project status from the Pending Site Walk substatus to the Pending Permits substatus.

The automated alert reaches the project manager by email, notifying them that the site walk was completed and that permits are ready to be filed for the project. This team has increased efficiency by automating how information is exchanged between employees, allowing each individual to focus on their priorities.
