Schedule and manage non-job events

Overview

Schedule non-job events to block off time on your technicians' calendar. Non-job events can be one-time only or recurring and last up to a full day. You can determine if the event will be paid or not based on the timesheet code you select when creating the event.

Things to know

       
  • When you set up timesheet codes for non-job events, make sure to specify whether the event is paid or not.
  •    
  • For non-job events that shouldn't affect payroll, deselect Needs a Timesheet?. In addition to not showing up in payroll reporting, non-job events created without a timesheet won't appear on technician timesheets, the Schedule Board calendar, Dispatch Pro, Schedule Assistant, or ServiceTitan Mobile.
  •    
  • If you want non-job events without a timesheet to display for the technician in ServiceTitan Mobile, select Visible to Technician when creating the non-job event.
  •    
  • If a technician has an overlapping job appointment timesheet and a non-job event, they can't be double-paid. They're only credited for the non-job event.
  •    
  • If you use Technician Clock I/O, you can configure timesheet codes so technicians must be clocked in to receive credit for a non-job event. To do this, select Exclude from reports if technician fails to clock in when creating the non-job event timesheet code.

Schedule a non-job event

       
  1. Go to the navigation bar and click Dispatch .
  2.    
  3. On the Dispatch Board, click a technician's timeline within the time slot when you want to schedule the event.
  4.    
  5. In the New Event pop-up that opens, enter an Event Name.
  6.    
  7. If a timesheet is needed, leave Needs a Timesheet? selected and choose a timesheet code from the dropdown.Cursor selecting a timesheet code from the dropdown.

    Note: If you use non-job events without timesheets as reminders, select Visible to Technician. This ensures non-job events without a timesheet show up for the technician in ServiceTitan Mobile so they don't miss anything.

  11. If you need to enter additional details, including the length of the event, click Edit Event, update the details, then click Save.
  12.    
  13. If you don't need to enter additional details, click Create Event.

Edit or delete a non-job event

       
  1. Go to the navigation bar and click Dispatch .
  2.    
  3. On the Dispatch Board, click the event you want to update then click Edit Event.        
               

    Tip: The name of a non-job event is listed on the Dispatch Board within the non-job event bubble on the date it's scheduled for. To see who created the non-job event and its duration, click the bubble and view the pop-up.

    Note: To delete an event, click Delete. If the event has already occurred, the event is removed from the technician's timesheet. If you make edits or delete a recurring non-job event, a pop-up opens with options on how you want the changes to affect recurring events:

           
           
                 
    1. Only this event: Changes only affect this single event.
    2.            
    3. Following events: Changes affect this and future events.
    4.            
    5. All events: Changes affect all events, including past events. Editing the duration affects completed events on previous timesheets.Image displaying the Edit Recurring Event screen.

  5. On the Edit Event that opens, edit the event details as needed:        
                 
    1. If you need to change when the event occurs, select a date and a start and end time.
    2.            
    3. To add other technicians to the event, enter their names in the add more members here field then click Add.                
                         

      Tip: Enter the first few letters of the technician's name to search for them.

      Note: To remove a technician from the event, click Delete next to their name.

    5. To schedule the event for the entire day, select All Day. To schedule a recurring event, select Repeat. On the Repeat pop-up that opens:                
                           
      1. Use the Repeats dropdown to set whether to repeat the event every day, week, month, or year.
      2.                    
      3. In the Repeat every field, enter how often to repeat the event based on the previous selection. For example, if you select Daily and enter 3, the event repeats every third day.                        
                                   

        Note: For weekly repeated events, you can select multiple days in a week for the event to be scheduled.

      5. In the Ends section, set whether you want the event to be scheduled on an ongoing basis, after a set number of events, or up until a set date.

    7. Select whether the event needs a timesheet or not. If a timesheet isn't needed, select if the event should be visible to the technician.

    9. If needed, edit the following selections to manage how you want the event to be handled in ServiceTitan:                
                           
      1. Clear this from the technician's calendar once event is over: Selecting this removes the event from the technician's schedule after it ends.
      2.                    
      3. Clear this from dispatch board once event is over: Selecting this removes the event from the Dispatch Board after it ends.
      4.                    
      5. Remove technician from open capacity board: This option is only available if you have Open Capacity Planning enabled. Selecting this removes the technician from the Open Capacity Board for the duration of the event.

    11. If needed, enter any additional details about the event in the text field.

Manage non-job events on the Dispatch Board

On the Dispatch Board, you can see non-job events:

       
  • Completed events have a Check
  •    
  • Upcoming events have a Bookmark

You can edit and delete completed and upcoming events.

   

Note: If you delete a completed event, it's also deleted from the technician's timesheet. To remove an event from the Dispatch Board without deleting it, edit the event and select Clear this from dispatch board once event is over.

Move events on the Dispatch Board

Drag an event on the Dispatch Board timeline to change the scheduled time.

Complete an event in progress

If an event in progress finishes before the scheduled end time, click the event on the Dispatch Board and select Complete Event.

The event ends immediately and the technician is credited for the non-job event up until the new end time.

Manage non-job timesheets

Update, add, and delete events by editing non-job timesheets.

   

Note: To edit timesheets, you must have the View Timesheet and Edit Timesheet permissions enabled. Contact your account administrator for details.
