Overview

The Membership Summary Report shows membership activity over a given date range. Each line in the report represents an active membership type.

Things to know

  • To open a membership record, click the corresponding invoice number to open the invoice in a new tab and then click View Membership.

  • The report includes membership status changes that occur within the report date range. For example, you can report on the number of memberships that were canceled in the past year. If a membership enters multiple statuses within the date range of the report, it will appear under the column of its last status within the date range. You can view the exact date of a status change in the Membership Status History section of the membership record.

Run the report

Before you run your report, set filters to focus your results:

  1. Go to the navigation bar and click Reports.

  2. In the side menu, click All Reports.

  3. Click Membership Summary Report.

  4. Click the From - To field to set a range of dates to run the report on. You can:

    • Use the calendar to select a specific date range and then click Apply.

    • Use the left menu to select a preset date range:

      • Today: From 12:00 AM to the current time.

      • Yesterday: Previous day, from 12:00 AM to 11:59 PM.

      • This Week: From Monday through Sunday of the current week.

      • Week to Date: From Monday through the current date of the current week.

      • Last 7 Days: Previous seven days, including today.

      • Last 14 Days: Previous 14 days, including today.

      • Last 30 Days: Previous 30 days, including today.

      • Month to Date: From the first of the current month to the current day.

      • Last Month: Entire month before the current month. For example, if the date is February 5, the entire month of January.

      • Last 90 Days: Previous 90 days, including today.

      • This Quarter: Current quarter, including future dates. For example, if the date is April 25, from April 1 - June 30.

      • Last Quarter: Entire quarter before the current quarter. For example, if the date is April 25, from January 1 - March 31.

      • Quarter to Date: From the first day of the current quarter to the current day.

      • Year to Date: From January 1 of the current year to the current day.

      • Last 365 Days: Previous 365 days, including today.

      • Last Year: From January 1 of the previous year to December 31.

  5. Use the Business Unit drop down to select the business unit for the report. This filter will default to all business units assigned to the membership.

  6. Use the Zip Code drop down to select zip codes you want to appear on the report. This filter will default to all zip codes reflected on the location on the membership invoice.

  7. Check the Include Inactive Membership Types box if you want to include inactive memberships types on the report.

  8. Click Run Report.

Tip: Click Edit Columns to add and remove columns. For further customization, you can also arrange and filter your results.

Drill Down in Membership Summary report

You can drill down in the Membership Summary Report to get historic insight into your memberships. 

  1. Click an underlined entry you want to drill down into. For example, click an entry in the Active at Start column. The entry is highlighted.

  2. In the highlighted entry, click Expand . A table opens in the report showing details for that entry including the following: 

    1. Customer Membership ID: Membership ID. Click on the Membership ID link to open the customer’s membership record in a new tab 

    2. Membership Type: Type of membership 

    3. Business Unit: Business Unit this membership belongs to

    4. Customer Name: Name of the customer. Click on the Customer Name link to open the customer record in a new tab

    5. Location Address: Service location covered under the membership

    6. Invoice #: Invoice number for this membership. Click on the Invoice # link to open the invoice record in a new tab

    7. Sale Type: Type of sale for the membership. Click on the Sale Type link to open the customer’s membership record in a new tab

    8. Sold By: Name of the employee who sold the membership

    9. Status Change As Of Date: Date the membership entered into the status it is listed under on this report


FAQ

Does this report include deactivated membership types?

No. Even if there are active customer memberships under a now-inactive membership type, the inactive membership type will not appear on this report.

This report shows you the status changes of active membership types for the purpose of marketing and operations decisions. Membership types that are no longer active are not relevant for such decisions.

How is each report column calculated?

How does the date filter affect the report results?

The date filter affects each report column as follows:

  • Active at Start: For a membership to be included in this column, the membership should have an Active status at the beginning of the report date range. The current Member From date of the membership should also fall in the report date range. This means if my report date range is 1/1/2020 - 12/31/2020, the member from on the customer membership should fall in the year 2020 and the membership should have been Active on 1/1/2020.

    Note: To find the Member From date of a membership, navigate to the customer membership page and click the Edit pencil.

  • Suspended, Canceled, Expired, Deleted: For a membership to appear in any of these report columns, the membership status should be changed from Active to any of these statuses within the report date range. For example, for a membership to appear in the Expired report column, the customer membership should be changed from Active to Expired within the report date range. To locate when a membership change occurred go to the customer membership page and check the Membership Status History section:

  • Reactivated: for a membership to appear in this report column, the membership status should be changed from any Not Active status to Active within the report date range. For example, if the Membership Status History is changed from Expired to Active in the date range, this membership is considered Reactivated.

  • Renewed, New Sales: for a membership to appear in either of these report columns, the membership sale or renewal task should be added to an invoice within the report date range.`

    Note: To locate the sold date, run a report built with the Customer Memberships report template and refer to the Sold On column for the membership.

  • Manual: for a membership to appear in this report column, the Membership From date should fall within the report date range, and the membership should be added via the Add Membership button on the customer profile. This button has  been archived for most tenants, so it’s rare for new memberships to appear in this column, which is for historical reporting only.

  • Active at End: this is a simple math equation, so the date logic affects each part of the equation according to the logic explained above.
    Active at End = [Active At Start] - [Suspended] - [Canceled] - [Expired] - [Deleted] + [Renewed] + [New Sales] + [Manual] + [Reactivated].

Is it expected for the same membership to appear in multiple columns on the report?

Yes. This report is used to show membership status changes. This means, if a membership sales task is added to an invoice and immediately deleted, that counts as one membership in both the New Sales and the Deleted report columns for that day.

Note: The Active at End report column should not include that membership because it was not active at midnight of that day.

Why are my Membership Summary report numbers so different from my Active Membership report?

It could be different for a couple reasons:

  1. Memberships with inactive Membership types: The Membership summary report excludes memberships whose membership type is no longer active in Settings > Membership Types. Customer Memberships does not exclude such memberships.

  2. Date filter differences: Membership summary report is based on the Membership From date. That is the reason you should base your Customer Membership report on memberships where the From date is within the date range.

  3. The Membership Summary Active at Start column counts deleted memberships. So, if a membership sale task is added to the invoice and immediately deleted, it counts as 1 Active At Start in this report as well as 1 Deleted. By default, the Customer Membership dataset filters these out.

    Note: To check whether or not the logic is the same, test if the above scenario populates a deleted membership in the Customer Membership dataset.
