Terms and conditions not showing on customer estimates and invoices

What you're seeing

You want your company's terms and conditions to appear on estimates and invoices that are printed or emailed to customers, but you do not know where to add them, or you have added them and they are not showing up. Terms and conditions are set per business unit, so you may need to set them for each one your company uses.

Why this happens

Reason 1

Terms and conditions are stored per business unit, not at the company level.

Until you upload a terms and conditions document to a business unit's Authorization Agreement section, nothing appears on that unit's estimates and invoices. Once uploaded, the document is included whenever an estimate or invoice for that business unit is printed or emailed.

Make sure you're using the right field

The business unit's Edit screen has two related but different things, and mixing them up is a common reason terms do not appear as expected:

  • Authorization Agreement — where you upload the terms and conditions document (a file). This is what these steps cover.

  • Authorization Paragraph and Estimate Authorization Paragraph — typed text fields for the disclosure a customer signs. If you paste your terms into these text fields instead of uploading a document to Authorization Agreement, they will not behave the same way. Placing terms inside a signable paragraph is a separate setup (see the related article below).

How to fix it

Before you start

You need access to edit business unit settings to make this change. This is an admin-level setting. If you cannot see or edit it, contact your admin.

Note: The uploaded document applies to every estimate and invoice for that business unit. It appears on both, and there is no built-in way to limit it to only estimates or only invoices.

1Upload the terms and conditions document to the business unit

  1. On the top toolbar, click Settings.

  2. Go to Operations and select Business Units.

  3. Find the business unit you want to edit. You may have more than one if your company operates in different areas or offers different services.

  4. Click Edit.

  5. Scroll down to the Authorization Agreement section.

  6. Upload your terms and conditions document. A PDF is usually the best choice, and there is no specific length limit, so it can be as detailed as needed.

  7. Click Save.

✓ Done · Terms and conditions now appear whenever an estimate or invoice for that business unit is printed or emailed to a customer. Repeat for each business unit that needs them.
