Export the MFA user list

Overview

Administrators can export the MFA user list from Settings > Security > MFA as a CSV file. The file lists every user on the screen with their MFA type, phone number, and user status. Export the list to review MFA readiness offline and report on it before enforcement begins.


Who uses this feature

Feature configuration

  • The View MFA permission is required to use this feature. Please contact the account administrator on your team.

Things to know

  • The export includes only the users currently shown by your filters, search term, and sort order.

  • The file does not include each user's role.

  • The Privileged column is a yes or no flag. It shows whether a user holds at least one sensitive permission.

  • The Export List button is hidden while you have users selected for a bulk action.

  • If no users match your filters, ServiceTitan shows a notification and no file downloads.

  • The file downloads to your browser's default download location.

Best practices

  • Export the list before each enforcement wave, so you can see who still has no second factor.

  • Filter to MFA Disabled before exporting when your goal is a gap list rather than a full roster.

  • Filter by Phone Number to find users who need a number added before SMS MFA can work.

  • Clear your filters before exporting when you need a complete roster for an audit.

  • Export monthly alongside your other user-access reviews, so MFA coverage is tracked over time.

  • Use the Privileged column to prioritize. Privileged users are enforced first and are the highest risk.

Use cases

  • An administrator preparing for an enforcement wave exports the list, filters to MFA Disabled, and emails the gap list to department managers.

  • An office manager exports the list to find users with no phone number, then collects numbers before turning on SMS MFA.

  • A business owner exports the list each month as evidence of user-access review for a security audit.

  • An administrator reports MFA coverage to their leadership team using the exported file as the source.

Export the MFA user list

  1. Go to the top toolbar and click Settings.

  2. In the side panel, go to Security > MFA.

  3. On the MFA screen that opens, apply any search term or filters you want reflected in the file.

    Note: The export matches what you see on screen. Filters for Phone Number, MFA, and User Type all carry into the file, along with your search term and sort order.

  4. Click Export List.

    Note: If you have selected users for a bulk action, the Export List button is hidden. Clear your selection to show it again.

  5. The CSV file downloads to your browser's default download location.

    Note: If no users match your filters, ServiceTitan shows a "no users to export" notification and no file downloads.

Understand the exported columns

The file contains the following columns:

Column

What it shows

Name

The user's display name

Username

The username the user signs in with

Email

The email address on the user's profile

User Type

Whether the user is an employee or a technician

Phone Number

The mobile number on the user's profile, used for SMS MFA

Privileged

Yes or no. Whether the user holds at least one sensitive permission that requires MFA

MFA Type

The user's configured method: MFA Disabled, SMS, TOTP, or SMS and TOTP

User Status

The state of the account, for example active or locked

Note: The file does not include each user's role. The Privileged column indicates only whether a user holds at least one sensitive permission — it is not a list of roles.
