Export sales tax to QuickBooks Desktop

Overview

ServiceTitan’s integration with QuickBooks Desktop (QBD) allows you to track and manage sales tax in QuickBooks. With the integration, you’re able to associate ServiceTitan tax zones to QuickBooks sales tax items which automatically apply the right sales tax when invoices are exported.

Before you apply sales tax to your transactions and export them to QBD, you need to complete the setup in ServiceTitan and QuickBooks. The setup ensures your tax zones are mapped to QuickBooks sales tax items and that transactions with sales tax are accurately exported to QBD. To begin setup, first ensure QBD sales tax tracking is enabled and the proper method of tracking sales tax in QBD is selected.

With QBD you can manage sales tax manually or automatically. Make your selection based on your business’ accounting method, as ServiceTitan supports both.

Manual sales tax

Enhanced sales tax

Use the enhanced sales tax method if your business calculates taxes inside QuickBooks. This setup matches the Tax zones in ServiceTitan to the Sales Tax Items in QuickBooks Desktop. To set up enhanced sales tax, see Set up QuickBooks Desktop for sales tax (US).

How can I see what my sales tax liabilities are?

You can check your sales tax liabilities by running the Sales Tax Liability Report in QuickBooks. Go to Vendors > Sales Tax > Manage Sales Tax, and in the Pay Sales Tax section, select Sales Tax Liability.

You can also run QuickReports for sales tax items to see which invoices that item was used on. Navigate to Lists > Sales Tax Item Name > Right-click > QuickReport.

How can I see what my sales tax liabilities are?

You can check your sales tax liabilities for each tax zone by running a QuickReport in QuickBooks. To run the QuickReport:

  1. Go to Lists > Item List.

  2. In the Look for search bar enter the name of the sales tax.

  3. At the bottom of the window, select Reports > QuickReport.
