Inventory Counts

ServiceTitan's Inventory Counts feature helps you conduct different inventory counts. It allows you to monitor and reconcile inventory records.

Setup

Set up inventory and permissions to start using Inventory Counts. You can create cycle counts, item counts, full inventory counts, and beginning inventory counts to monitor and reconcile stock.

Setup checklist

Set required permissions

Enable Create, Edit, Complete, and Cancel Inventory Count permissions for the relevant employees or roles. Disabled by default for all roles except Admin.

How it works

Inventory count statuses

When you create and complete a count, ServiceTitan tracks inventory counts with the following statuses.

Pending: New counts you created and recounts you created to resolve discrepancies.

In Progress: Counts for which you started entering quantities in ServiceTitan but didn't finish.

Review: Counts for which you finished entering quantities in ServiceTitan and you need to review your entries.

Completed: Counts you completed.

Canceled: Counts you canceled.

Counting and reconciling inventory

When you need to count inventory, create a count list based on inventory records in ServiceTitan. As the warehouse staff completes the physical inventory counts in warehouses and trucks, they record the quantities of all items on the count lists. You can enter into ServiceTitan the recorded quantities.

If there are differences between physical quantities and inventory records in ServiceTitan, you can do one of the following:

Adjust the inventory records through an inventory adjustment to match your physical inventory.

Recount any items where the variance is too high.

What types of inventory counts can I create?

You can create four types: Cycle counts (selected items at a location or from a template), Item counts (a single item across multiple locations), Full inventory counts (all items at a location), and Beginning inventory counts (starting balances when you first assign a template to a location).

What statuses can an inventory count have?

ServiceTitan tracks counts with five statuses: Pending (new or recount), In Progress (quantities started but not finished), Review (quantities entered, ready to review), Completed, and Canceled.

What should I do if physical counts differ from my inventory records?

If there are differences between physical quantities and inventory records, you can either adjust the inventory records through an inventory adjustment to match your physical inventory, or recount any items where the variance is too high.

Which permissions are needed and who can grant them?

Four permissions apply: Create Inventory Count, Edit Inventory Count, Complete Inventory Count, and Cancel Inventory Count. All are disabled by default for all roles except Admin. An Admin can grant them via the employee/role permissions settings.
