Overview
As an HVAC technician, you can log refrigerant activity — amounts added, recovered, recycled, or disposed of — directly from the ServiceTitan Field Mobile App while you are on the job. Recording this activity on the correct piece of equipment keeps an accurate history on that asset and supports your company's recordkeeping.
Note: The Refrigerant Tracking form must be configured in your ServiceTitan account before you can use it. If you don't see the form, contact your office administrator. For more, see Set up and use Refrigerant Tracking for EPA recordkeeping.

Things to know
After adding the Refrigerant material item to the job invoice, open the form on the correct piece of equipment so the activity ties to the right asset.
The form syncs automatically when you complete it; if you're offline, it uploads once you're back in range.
Completed forms stay attached to the equipment asset record — you and the office can review past activity on that asset later.
If the form is set as required, you must complete it before you can complete the job.
Best practices
It is recommended to always open the form on the correct equipment so the activity ties to the right asset.
Note: If the form is configured as an Equipment form in the office, you can still link it to the correct equipment after it's created by tapping More
> Manage Links in the mobile app. If a refrigerant material wasn't added from the equipment page, you can link it to the correct equipment later by opening the equipment page in the invoice and tapping Add next to Sub-Items.Double-check the refrigerant type and pounds before completing—these are the values your office relies on for billing and recordkeeping.
If a smart field looks wrong (for example, the wrong equipment), fix the underlying record or check with your office rather than overwriting it inaccurately.
If the form is required, you'll need to complete it before you can complete the job.
EPA Compliance Requirements
Refrigerant recordkeeping is largely governed by EPA Section 608 and the AIM Act. In practice, that means accurately capturing:
The refrigerant type
The quantity added, recovered, recycled, or disposed of
The equipment the activity applies to
Your technician certification details
Any leak/verification details after a repair
Recording this information completely and on the correct equipment is the most important thing you can do in the field. Thresholds and obligations change over time and vary by location—confirm current requirements with your office.
Fill out the Refrigerant Tracking form during a job
Open the refrigerant form for the equipment you serviced so the activity is recorded to the correct asset.
Note: The fields on the form depend on your office's setup.
In the Home section of the Field Mobile App, open your assigned job.

Tap Dispatch and then mark yourself as arrived on site.
Tap Add, and then Invoice Item and add the Refrigerant material to the job invoice.
Tap Equipment, then go to the specific piece of equipment on the job.

Go to Forms.
Tap Add Form and select the Refrigerant Tracking form from the list.

Review the smart fields that are filled in automatically– job number, location, equipment details. Confirm they're correct.
Select the Refrigerant Type from the dropdown (for example, R-410A, R-22, or R-32).
Add one or more Refrigerant Entries. For each entry, specify:
Activity type—adding, recovering, recycling, or disposing
Quantity in pounds
Any additional context in the optional fields

When finished, tap Complete.
The form is saved to the equipment asset record and syncs to the office automatically. If you're offline, it uploads once you're back in range.
Note: Completed forms stay attached to the equipment asset record. You and the office employees can review past refrigerant activity on that asset during future appointments.
