What you're seeing
You need to invoice a customer for a deposit on a project that hasn't been assigned to a job yet, and you're not sure how to create that invoice.
Why this happens
Reason
A deposit on a project is billed with a project-level invoice, added directly to the project rather than to a job.
Because this invoice isn't tied to a job, it isn't obvious where to start.
Before you start
Your account needs project billing enabled to add invoices to a project.
You need permission to add invoices and edit invoice items. If you don't have it, contact your administrator.
How to fix it
1Create and send the project-level deposit invoice
Go to the project that needs the deposit.
Click Actions > Add Invoice.
Select a business unit and click Add Invoice.
On the new invoice, click Add a task, enter the name of your deposit task, and select it.
Change the Unit Price to the amount of the deposit.
Click Save.
Email the deposit invoice to the customer.
✓ Done · The customer receives a project-level invoice for the deposit amount.
After you collect the deposit
This project-level invoice adds to the project's total contract value, and the deposit needs to be moved to the invoice you actually do the work from. After the customer pays:
Move the payment to the invoice you're doing the work from.
Remove the deposit line item from this project-level invoice to clear its balance.
✓ Done · The deposit is applied to the working invoice, and the project-level deposit invoice is cleared.
