Overview

Before launching your scheduler, use the Scheduler Test and Preview feature to review your setup and book a test appointment. This provides a clear visual of the customer’s booking experience and ensures everything works as expected.

To test and preview your Scheduler, perform the following tasks:

  1. Learn the key features to test

  2. Test your scheduler

  3. View Scheduler Bookings on the Office Side

Note: Ensure your scheduler is fully set up and active before testing.

Things to know

  • The Scheduler Test and Preview functions exactly like the live version. It pulls availability from your setup and books actual appointments into ServiceTitan.

  • The Scheduler Test and Preview feature does not log sessions for analytics. Additionally, abandoned sessions in the preview do not get sent to ServiceTitan as bookings, but those in the live scheduler are.

Step 1: Learn the key features to test in scheduler preview

Before launching the scheduler, it's important to test key aspects of your setup to ensure a smooth customer experience. The Scheduler Test and Preview feature works just like the live version, following your setup and creating real jobs. With the Scheduler Test and Preview feature, you can check the following:

Check your capacity setup

Ensure that your capacity is correctly set up before testing with the scheduler preview, as it works based on the setup you've configured. You can check the following:

  • Try booking different appointment times to confirm that you have availability.

  • Ensure service areas appear as available. If not, check your Zones set up in Scheduler.

  • Ensure your scheduler doesn’t allow overbooking if that is not intended.

Test office alerts

Set up a Scheduling Pro alert and book a test job to notify your office team when a job is booked using the scheduler. To learn how to set it up, see Set up alerts for Scheduling Pro.

Check how jobs appear and are assigned in ServiceTitan

  • Ensure the booked jobs are showing up in the Dispatch board unassigned section if you’ve the setting Send Scheduling Pro appointments as jobs to the Dispatch Board enabled.

  • Open the booked test job to confirm the correct job type, business unit or job types are applied.

  • If you’ve technician rules set up, confirm the proper technician is assigned to the job.

    Note: Technician Rules are set up in Services Offered > Advanced Settings > Technician Rules.

Step 2: Test your scheduler

  1. Go to the top and click Settings  .

  2. In the side panel, click Integrations > Marketing Integrations.

  3. On the Marketing Integrations screen that opens, click Edit next to the Scheduling Pro integration.

  4. Within WorkConnect, click Edit from the Moreoption on your scheduler.

  5. Click Review in the Scheduler Test and Preview section.

Book a test job

The test scheduler opens in a new browser tab. Follow these steps to book a test job.

Note: The scheduler workflow may vary depending on the workflow you select during setup.

  1. Enter location details.

    2. Click Confirm to proceed.

    2. From the available options, select the service you need.

    3. (Optional) Provide maintenance details to finalize your request.

    4. Click Continue Booking to proceed with scheduling.

  3. Select an appointment.

    Note: Based on the workflow set up for your scheduler, the steps in the scheduler may vary.

    1. Select a date from the First Available or All Appointments sections.

    2. Click Continue Booking.

  4. Enter your contact information.

    2. Enter the phone number and email.

    3. Click Continue.

  5. Enter service location information. Form to book service with fields for address, city, state, and zip code.

    1. Enter the service address.

    2. Enter the city, state, and zip code.

    3. Click Continue.

  6. Finalize the booking.

    1. (Optional) Provide additional details:

      1. Provide notes

      2. Upload files.

    2. Check the box to agree to the Terms of Service.

  7. Click Finish Booking.


Step 3: View Scheduler Bookings on the Office Side

After booking a test job, you can see how the system processes scheduler bookings and updates the office workflow, whether the appointment is completed or not. Successful sessions are completed from start to finish, while unsuccessful sessions are left unfinished.

Successful Sessions

After successfully booking an appointment using the Test and Preview Scheduler, the system automatically creates a job in the Dispatch Board’s unassigned section if you have the option Send Scheduling Pro appointments as jobs to the Dispatch Board enabled in the Scheduler Details. Otherwise, the appointment appears in the Call Booking > Bookings screen as a booking.

Scheduling Pro can also automatically assign a technician based on the Technician Rules set up in ServiceTitan. Technician Rules define which technicians are assigned based on factors like campaigns, trades, service zones, and job type. To learn more, see Set up Technician Rules.

Unsuccessful Sessions

If a customer starts booking an appointment but does not complete it, the system can still capture the abandoned session. If you’ve Send abandoned scheduler sessions as Bookings enabled in the Scheduler Details, Scheduling Pro sends these incomplete sessions to the Bookings section on the Call Booking tab as bookings. This allows office staff to follow up with potential customers and complete their bookings manually if necessary.

Note: Abandoned sessions in the Scheduler Test and Preview are not sent to ServiceTitan as bookings, but those in the live scheduler are.

By reviewing abandoned scheduler sessions, office teams can identify potential leads and follow up with the customer accordingly.
