Overview

Set up QuickBooks properly to integrate with ServiceTitan to make sure that the data transferred between both platforms is accurate and reliable. Proper setup will also prevent export errors due to account names not matching and will help you map your accounts faster when you add new payment types or Pricebook items.

New users of QuickBooks Desktop: Follow the steps outlined in below to create GL accounts in QuickBooks Desktop for integration with ServiceTitan.

Existing users of QuickBooks Desktop:Make sure the GL account names in QuickBooks Desktop match exactly the GL account names in ServiceTitan. This will prevent export errors due to account names not matching.

Things to know

Note: This feature is now standard with all new accounts. If these features are not yet enabled in your account, contact your success or implementation manager.

Adding your General Ledger Accounts

  1. Open QuickBooks and ServiceTitan.

  2. In QuickBooks, open your Chart of Accounts (Lists > Chart of Accounts).

  3. In ServiceTitan, go to Settings > Operations > General Ledger Accounts.

  4. Click Add Account. You will be copying the information from QuickBooks into ServiceTitan.

  5. You will now be able to add:

    1. Name. Copy/paste the name of the account. This should not include the account number unless you have included that in the QuickBooks NAME field.

    2. Number [Optional]. Copy/paste the account number associated with the account in QuickBooks. If you cannot see the account numbers in your Chart of Accounts, right-click the title of any column and select Customize Columns. Add the ACCNT. # column and click OK.

  6. Select the appropriate account type.

  7. After you select the account type, a Subtype field will appear. Select the appropriate subtype.

  8. Click Save.

Sales tax

If you are also calculating sales tax, create an ST Sales Tax Payable account in QuickBooks Online as an Other Current Liabilities account and a service item for ServiceTitan Sales Tax.
