Overview

This report is useful if you track deferred revenue with your membership billing. This report will display billed amount as of the date of the report.

Common uses for this report:

  • Use this report to view the membership contract price, the amount billed to date, recognized revenue, and deferred balance.


Who uses this feature

  • Administrators and managers

How to find this report

Click Reports > Search Deferred Revenue. Click the report name. Then you will be able to set filters and run the report.

Tip: You can also schedule the report by clicking Schedule next to the report name

Report filters

Membership

Filter by membership. This report can be run by a single membership or all memberships.

Status

Filter by status. This report can be run by active, expired, or all statuses.

Note: The report will display billed amount as of the date of the report.

Balance

Filter by balance. This report can be run by an outstanding balance, no balance, or all balances.

Date

Filter by date. Use the dropdown to select a date range.

Include Zero Recognized Revenue

If the Include Zero Recognized Revenue checkbox is checked, then all customers whose recognized revenue is zero will not show in the report.

View or download the report

Click the Search icon to view the report.

The report can be downloaded in three different formats:

  • Export to Excel (*.xlsx) (click the dropdown arrow next to Download PDF)

  • Export to Comma separated (*.csv) (click the dropdown arrow next to Download PDF)

Click the Clear icon to reset the report filters.

Explanation of report columns

The report includes the following columns:

Customer
                   


                       

Customer name. This is the Bill To customer on the invoice.


                   

Address
                   


                       

Service location address that the membership is attached to.


                   

Membership
                   


                       

Type of membership attached to the service location.


                   

Start Date
                   


                       

Start date of membership.


                   

End Date
                   


                       

End date of membership.


                   

Contract Price
                   


                       

Price of the membership.


                       

Calculation - Contract Price: [New Sales Task amount] + ([Billing amount] x [Number of charges])


                       

  • A new sales task is the Pricebook task used for a new membership sale.

  • Billing amount includes the negative item(s) in the Pricebook that are used for invoice templates and membership sales.


                   



Billed To Date
                   


                       

Total amount the customer has been billed up to the selected report date.


                       

Calculation - Billed To Date: [New Sales Task amount] + [Billing amount collected up to the selected date]


                   

Recognized Revenue
                   


                       

Revenue is recognized as recurring services are completed. Revenue recognition tasks are the negative items on the recurring service job template.


                       

Calculation - Recognized Revenue: [Sum of negative revenue recognition tasks]


                   

Deferred Balance
                   


                       

The amount of recognized revenue, out of the total amount the customer has been billed.


                       

Calculation - Deferred Balance: [Billed To Date] - [Recognized Revenue]
