Auto-draft Service Agreements

Overview

Use the Auto-drafting feature in Step 3: Equipment during Service Agreement creation to automatically populate data from the Maintenance Schedule to the service agreement. This helps resolve any remaining gaps, reduces manual effort, and enables the creation of faster and more accurate proposals.


Who uses this feature

  • Administrators, accountants, estimators, project managers, and operations managers

  • Primarily benefits Commercial Service and Replacement, and Commercial Construction business types

  • Primarily benefits HVAC trades

Feature configuration

  • This feature is currently in Private Preview and available for specific accounts. It is subject to change. If you want to enable this feature for your account, join the waitlist.

Things to know

  • The Auto-draft is dependent on the equipment data pulled from the Settings A simple icon representing a settings gear. > Equipment Types > Maintenance Schedule. Ensure you set up and configure Equipment Types.

How this works

  1. Set up equipment details in the Maintenance Schedule section. Maintenance schedule detailing tasks, labor hours, and material costs for HVAC services.

  2. Use the Auto-draft Agreement in the Step 3: Equipment screen of creating Service Agreements.

  3. On Step 4: Scope of Work,, add a visit.  The data from the Maintenance Schedule is automatically transformed into accurate visits, labor, and materials for the service agreement visit. Schedule of maintenance visits

Refer to the table below to view how the visit data is consolidated based on the equipment data.

Agreement Data

Maintenance Type + Frequency

Recurring Visits - Maintenance Types are consolidated into visits based on a shared frequency.

Maintenance Type List

Visit Summary - the agreement summary will populate the list of maintenance types completed by this visit.

Maintenance Type Labor Hours

Visit's Labor Hours - labor hours from all consolidated maintenance types are summed together.

Maintenance Type Material Cost

Visit's Material Cost - material costs from all consolidated maintenance types are summed together.

Installed Equipment Record's Maintenance Data -> Linked Material

Visit's Material Table List

Note: If all equipment have linked materials set, the visit's material cost will update to Use Calculated Cost.

Tip: You can add more SKU items from the Location Record > Equipment > Maintenance Details tab.

Use Auto-draft Agreement

To enable Auto-draft Agreement, ensure that you have equipment added on the Step 3: Equipment screen.

  1. Click Auto-draft Agreement. auto-draft agreement option

  2. On the Auto-draft Agreement? pop-up that opens, click Auto-draft Agreement. Prompt to auto-draft an agreement after adding equipment in ServiceTitan interface.

The Agreement auto-drafted successfully message appears, letting you know that the changes are applied.

Tip: Review the Service Agreement draft before sending it.
