Activate units of measure for items with current stock levels and completed transactions

Overview

Activate the unit of measure for a new item with completed transactions to maintain accurate inventory data. Convert between the different units of measure on each transaction to facilitate this process.

Activate the unit of measure for an item with completed transactions

  1. Go to the navigation bar and click Pricebook.

  2. In the side menu, click Materials or Equipment.

  3. On the screen that opens, select the item for which you want to activate the unit of measure.

  4. Click Actionsand select View/Edit Material.A cursor selecting View/Edit Material from the dropdown list.

  5. On the Edit Material screen that opens, click the Inventory Settings tab.

  6. On the Inventory Settings screen that opens, click the Unit of Measure card.A cursor clicking the Unit of Measure box.

  8. In the Existing Unit of Measure field, enter the initial unit of measure for the selected item and click Next.Cursor clicking Next after entering the existing unit of measure.

    Note: You can set up multiple purchasing units of measurement for a single item.

  9. On the Define New Unit of Measurement card that opens, enter the new unit of measure for the selected item and its new conversion rate:

    1. In the Qty field, enter the quantity of the selected item with the new unit of measure.

    2. In the New Unit of Measure field, enter the new unit of measure.Image showing how to define a new unit of measure.

  10. When finished, click Next.

  11. Review the changes and click Convert Item.

  12. From the Business Unit dropdown field, select the business unit to which the unit cost is assigned and click Complete Conversion.

  13. On the Old Batch Export card that opens, click Export.A cursor clicking Export on the Old Batch Export section.The Accounting Batch/Export Transactions screen opens in a new tab.

To complete the item conversion process for items with completed transactions, update the data in the accounting platform. For more, see the Update data in the accounting platform section below.

Convert unit of measure on items in your accounting software

In order for your accounting software to properly sync with your ServiceTitan account, the units of measure must match between both platforms. The old item must be removed from the existing stock and completed transactions in your accounting software and replaced with the new item. This can be achieved by exporting batches.

  1. Go to the navigation bar and click Accounting.

  2. On the Batch/Export Transactions screen that opens, click the batch dropdown and then select Post the selected batch to remove the old stock from the accounting platform.A cursor selecting Post the selected batch to remove the old stock from the accounting platform.

    Note: The batch containing the old stock has the DNU label on the batch name.

  3. Click the batch dropdown, and select Bypass Export.

    Note: Export these transactions along with the inventory information when exporting to the accounting platform. This allows you to remove the existing item and add a new item.

  4. Go back to the Unit of Measure Setup screen.

  5. On the Old Batch Export card, click Next.A cursor clicking Next in the Old Batch Export section.

  6. On the New Batch Export card that opens, click Export.A cursor clicking Export in the New Batch Export section.

  7. The Accounting Batch/Export Transactions screen opens in a new tab. It shows a new transfer with the new unit of measure.

  8. Click the batch dropdown, and select Post the selected batch. Click Yes to confirm.A cursor selecting Post the selected batch from the batch dropdown.

  9. Click the batch dropdown again, and select Bypass Export.A cursor selecting Bypass export from the batch dropdown.

    Note: Export these transactions along with the inventory information when exporting to the accounting platform. This allows you to remove the existing item and add a new item.

  10. Go back to the Unit of Measure Setup screen.

  11. In the New Batch Export card, click Next and then click Complete.A cursor clicking Next in the New Batch Export section.The new unit of measure is ready to use.

    Note: If you don't complete the export process, you can't use that item with the new unit of measure in transactions. An error message appears, warning you to complete the process of conversion.
