Overview

The Accounts Receivable (AR) feature helps you ensure that all of your current incoming payment transactions are accounted for in ServiceTitan. The AR tool runs an automatic review to look for discrepancies in your AR data. If any are found, the AR tool gives you options to fix them.

Things to know

  • This feature is only available during your initial implementation and is not available once you go live with ServiceTitan.

  • Before you can begin the AR reconciliation process, you must email your Accounts Receivable report from your previous accounting software to your implementation manager. The date of the report should be the same date as the Data Software from your data import.

  • Only one user can log into the AR tool at a time. If another user is logged into the AR tool, you see the AR Reconciliation is in Progress message.

Accounts Receivable Reconciliation Process Step 1: Learn

The Learn step is a read-only screen that provides an introduction to how AR reconciliation works in ServiceTitan. It shows the steps included in the process, lets you know which step you're currently on, and provides useful tips to keep in mind throughout the process. If necessary, read through the screen and click Get Started when you're ready to begin.

If, instead of the Learn about Accounts Receivable (AR) reconciliation screen, you see a No AR File Imported Yet message, it means your AR file hasn't yet been imported, and you can't begin the AR process. You can contact your implementation manager by clicking Email Implementation Manager.

On the Email Implementation Manager screen that opens, fill out the information and click Choose File to upload a copy of your Accounts Receivable report, then click Send Email.

Step 2: Review

The Review step allows you to view a summary of the data in your Accounts Receivable report, including totals of matched, unmatched, and missing transactions. This lets you confirm the amounts are correct before you begin the exception resolution process.

The top section shows the Total Balance of your imported AR report, the total number of imported transactions, and the date the AR report was uploaded.

The next section shows the total records without exceptions that the AR tool was able to find a match and the total amount of all the transactions that were successfully matched.

This section also shows any issues with your AR report that the AR tool was able to automatically fix. To review these, click Download All Transactions at the bottom of the screen.

The bottom section displays the total amount and total number of transactions that require reconciling. You'll begin the reconciliation process in the next step.

Click Download All Transactions to download an Excel file containing your AR data.

If there are any transactions from your AR report that do not have a match in ServiceTitan, a warning message shows.

Click Learn More to see more information about these transactions. Click Download All No Matches to download an Excel file containing data on any transactions that did not have a match. Click Done to return to the Review step.

Once you're ready to begin reconciling your transactions, click Continue.

Step 3: Reconcile

The Reconcile step allows you to manually match transactions or exclude individual transactions from your AR.

Select an item from the list that you want to review. The side panel shows details about the transaction. You can:

  • Match the transaction to a different customer or invoice

  • Exclude the transaction from AR

Match transaction to a different customer or invoice

  1. In the side panel, select Match to a different customer/invoice. Then select Search for Customer/Invoice

  2. On the Search screen that opens, search for the customer or invoice you want to match the transaction to.

  3. Select the customer or invoice from the list, then click Apply        

    Tip: You can verify the customer or invoice is correct by clicking the Customer Name or Invoice #. The Customer Record or Invoice opens in a new tab.

         

  4. When finished verifying the match, click Select. This moves the transaction from the For Review tab to the Matched tab of the Transactions table. If you matched a transaction but need to match it to a different record or exclude it, on the Matched tab, select the transaction(s) you want to change, and then make the changes in the side panel. When you're done matching or excluding transactions, click Continue.

Match multiple payments to the same customer

If you have multiple payments that should be applied to the same customer, select the payments from the list, then select Search for Customer.

Note: You can't match two different invoice transactions to the same invoice. You can only exclude invoice transactions in bulk.

Exclude transactions

  1. Select the transactions you want to exclude from AR, then select Exclude from AR.        

    Note: You can exclude the transactions individually or in bulk.

         

  2. Click Select. The transactions are excluded from AR and moved to the Excluded tab of the Transactions table. 

Use Quick Filters to locate specific transactions and issue types

You can use Quick Filters to filter the Transaction table by a specific transaction and issue type. This is helpful when you have a large amount of transactions to review or if you are unsure where to start with reconciliation. The issue types include:

  • Transactions with no match

  • Transactions with multiple matches

  • Transactions that are matched to inactive customers

Click Quick Filters to open the Quick Filters window. Select a specific transaction and issue type, then click Apply. The Transaction table then shows only the selected transaction and issue type.

Step 4: Approve

The Approve step allows you to do a final review of the final balances and any variation between the data you imported and your ServiceTitan balance. This step shows:

  • The total amount you imported into ServiceTitan and the number of transactions

  • The total amount successfully matched and the number of transactions        

    • The amount automatically matched during import and the number of transactions

    • The amount you manually matched through reconciliation and the number of transactions

  • The amount you excluded from your AR and the number of transactions

  • The actual AR balance that appears in ServiceTitan and the number of transactions

  • The variance amount 

Click Download All Transactions to download an Excel file that contains the details of your entire AR including:

  • Your original source file

  • All perfect matches

  • Any transactions that were automatically fixed during the import

  • All transactions that had no match and how you reconciled them

  • Any transactions that had multiple matches or were matched to inactive customers

  • The transactions that were bypassed and what issue type the transactions had

When you've reviewed your AR summary, click Finish.

If you're doing a final run for AR reconciliation, before you finish, you must sign off on approval by entering your name and email address and checking the box to approve. Once entered, click Finish to send your final approval.

After your final approval is sent, both you and your onboarder receive an email confirmation of the completed AR Tool and a link to access the Approval screen. The Approval screen maintains a record of the Excel file of your entire AR, in case you ever need to download it again.

Note: Any transactions that were excluded from your AR should be resolved or noted for review in your initial accounting software, as they are not brought over into ServiceTitan to maintain going forward.
