Use Document Intelligence to classify and search project documents

Overview

Document Intelligence automatically generates summaries and labels for files you upload to a project, so you can search, identify, and act on documents in seconds without manual tagging. You can also create custom labels to organize documents your way.

Feature configuration

  • This feature is currently in Private Preview and available for specific accounts. It is subject to change.

Things to know

  • Document Intelligence processes files automatically when you upload to a project or move into a project, including files uploaded to a job that is associated with a project. Files uploaded to standalone jobs, not linked to a project, are not processed.

  • AI processing applies to images and documents. After upload, summaries and labels appear within a few seconds; a page refresh may be required to see them.

  • AI-generated labels are visually distinguished from manual labels in the document list. AI labels display a special icon; manually added labels do not.

  • There is a maximum of 8 AI-generated labels and 8 custom labels per file. Summaries have a maximum of 500 characters.

  • You can't bulk-edit summaries and labels. Make changes on a per-file basis.

  • The document search bar includes summary and label data.

Step 1: Create tenant document labels

Tenant document labels are custom labels you create for use across all projects. They supplement AI-generated labels and can be added to any file manually.

  1. Go to the top toolbar and click Settings A simple icon representing a settings gear. .

  2. In the side panel, go to Operations > Document Management > Tenant Document Labels.Document management interface displaying various tenant document labels for organization.

  3. To add a new label, click Add Label and enter a name of up to 25 characters.

    Note: You can create up to 20 tenant document labels by default. Each label can be up to 25 characters with no word limit.

  4. To edit an existing label, click Edit next to the label name and make your changes.

  5. To delete a label, click Delete next to the label name.

    Note: Deleting a label removes it from the label list but may not remove it from files it has already been applied to.

  6. When finished, click Save.

Step 2: Configure Document Intelligence settings

  1. Go to the top toolbar and click Settings A simple icon representing a settings gear. .

  2. On the side panel, go to Operations > Document Management > Titan Intelligence.Settings for document management using Titan Intelligence for file classification and summaries.

  3. Click the AI Summaries on Files toggle to show AI-generated summaries in the document list.

  4. Click the AI Labels on Files toggle to show AI-generated and manual labels in the document list.    

    Note: The Display Summaries and Display Labels toggles control whether that processed data is visible to office employees. You can turn either display off without disabling AI processing entirely.

  5. When finished, click Save.

Step 3: View summaries and labels in a project

When you enable Document Intelligence and files have been processed, summaries and labels appear directly in the project document list.

  1. Open a Project and go to the Documents tab.

  2. Click View All Documents and Folders.Document management interface showing recent media and a button to view all items.

  3. In the document list, you can:

    • View a full summary of the document by hovering over the summary text.

    • View all labels by hovering over the number indicator.

    • Labels with an AI icon   are AI-generated. Labels without the icon are manually added.Project documents listing with highlighted flow test summary and labels for organization.

  4. To search for documents by summary or label content, use the search bar at the top of the document list and enter a keyword.

Step 4: Edit a file's summary or labels

You can manually edit the AI-generated summary or adjust the labels on any individual file.

  1. In the project document list, locate the file you want to edit.

  2. Click   next to the file name.

  3. Select Edit Summary or Edit Labels.Overview of media files with labels, types, and options for editing summaries.

  4. To edit the summary, enter your changes directly into the summary field. The summary field has a maximum of 500 characters.

  5. To edit labels:

    • To remove a label, click the × next to the label name.

    • To add a tenant label, click in the label field and select from the list of available tenant document labels.

  6. When finished, click Save.

Step 5: Preview a file with the information panel

The document preview window supports all file types, including PDFs.

  1. In the project document list, click a file name to open the Preview window.

  2. To view summary and label metadata, click the Information Panel. You can jump between pages if it's a multi-page file.Hydrant inspection report detailing various specifications and procedures for testing hydrants.

    Note: Annotation mode remains available from within the preview window. For more, see Use annotation tools in documents.
