Create RFI Tasks in Document Annotations

Overview

RFI tasks let you pin requests for information directly onto project documents and drawings, keeping questions tied to the exact location and context that triggered them.

Feature configuration

  • This feature is currently in Private Preview and available for specific accounts. It is subject to change.

Things to know

  • Not all RFIs need to be associated with a file. You can also create them directly from the project's RFI screen in which case they will not be linked to a file.

  • Documents attached to an RFI task are not stored in Document Management. They are stored separately.

  • You can see a direct link from each RFI back to its associated file.

Create an RFI task on a document

  1. Open a project and go to the Documents section.

  2. Click View all documents and folders.Document management interface displaying recent media and attachments with a highlighted button.

  3. Open the file you want to annotate and go to the Annotation mode. For more, see Use Annotation Tools in documents.

  4. Click Tasks, then click the location on the document where the question applies.Blueprint layout of a room with dimensions and furniture placements indicated.

  5. In the panel that opens, fill in the RFI details, like title, description, assigned user, priority, and other relevant fields.

  6. (Optional) Attach any supporting documents to the RFI.

    Note: Documents attached here are not stored in Document Management.

  7. Click Add RFI to save the task.Task management interface showing assigned tasks, due date, and contact information.

The new RFI task appears in the panel and is pinned to the document.

Find and filter RFI tasks on a document

  1. Open the document and enter annotation mode.

  2. In the right panel, click RFI Tasks.Blueprint of a house layout showing rooms, dimensions, and furniture placement.

  3. Use the search bar to search by keyword, or filter by status or priority.

You are redirected to the RFI section on the Project screen.Overview of RFIs with total counts and task statuses displayed on the dashboard.

Edit an existing RFI record

  1. From within the document's RFI Tasks panel, click the RFI task you want to open.

    Note: Alternatively, you can go to the project screen.

  2. Click an RFI to open it.

  3. Update any editable fields, such as cost impact or other details.Task details including assigned person, priority, and potential impacts on cost and schedule.

  4. Update the RFI status as needed.Task details including assigned person, due date, and priority level are displayed.

Manage RFI tasks

  1. From the RFI screen, clickA simple icon in the shape of three dots, lined up vertically.and select one of the following options:  

    1. Create Change Order

    2. Download PDF

    3. ArchiveTask details including assigned person, due date, and project information displayed clearly.
