Maintenance schedules on equipment types

Overview

Set up maintenance schedules directly on equipment types. By defining maintenance tasks, labor hours, materials, timeframes, and frequency, you can automate service agreement creation and streamline service planning.

  • Primarily for Commercial Service business types

Feature configuration

  • This feature is currently in Private Preview and available for specific accounts. It is subject to change.

  • Account configuration is required to use this feature. Please contact Technical Support for details.

Things to know

  • Create equipment types by going to Settings > Equipment > Equipment Types. For more, see Manage equipment types.

  • Link maintenance material type to equipment types. For more, see Maintenance materials on equipment types.

Add a maintenance schedule

  1. Go to the top toolbar and click Settings A simple icon representing a settings gear..

  2. In the side panel, go to Equipment > Equipment Types.

  3. Add or edit an equipment type.

  4. On the Equipment Type screen, click +Add Maintenance Schedule. Maintenance schedule showing filter change details and operational inspection frequency.

  5. Enter the following details:        

    1. Maintenance Type: Select the type from the dropdown. For more, see Manage maintenance types.

    2. Maintenance Schedule: Select Global Schedule or Range-based Schedule.                

      Tip: Accurate schedules help auto-generate service agreement visits.

      1. Global Schedule: Select this type if you want to use a single schedule for all capabilities. This type includes the following settings:                        

        1. Pricebook Service: Use the default pricebook SKU linked to maintenance type, or select another Pricebook service from the dropdown.

        2. Repeat Every: Set maintenance frequency in days, weeks, months, or years.

        3. Repeat During: Set the preferred timeframe for the maintenance type.

        4. Labor Hours: Set labor hours. Maintenance schedule options for pricebook service with repeat settings and labor hours.

      2. (Optional) Materials: Link materials to schedules by clicking +Add Material and add a material cost estimate for this schedule. For more, see Maintenance materials on equipment.

      3. (Optional) Forms: For each schedule you can link forms and mark them as required if needed. Form for adding materials and costs, including an arrival checklist option.                        

        1. Range-based Schedule: Select this type if you want to set a custom schedule per capacity range. This type includes the following settings:                                

          1. Click Add Range. Options for maintenance schedule with a focus on range-based scheduling and adding capacity.

          2. In the window that opens, enter the capacity range, frequency, labor hours, and materials, and select a pricebook service from the dropdown.

          3. When finished, click Save or Save and Add Another if you want to add a new range. Form fields for adding a capacity range and saving service details.

          4. (Optional) Materials: Link materials to schedules by clicking + Add Material and add a material cost estimate for this schedule. For more, see Manage Maintenance materials on equipment.

          5. (Optional) Forms: Link forms and mark them as required if needed.

  6. When finished, click Add Maintenance Schedule.        

    Tip: Complete all required fields and options before you save the maintenance schedule.

The maintenance schedules you define at the equipment-type level appear in the Maintenance Schedule section of the equipment type. You can delete forms and materials directly from the table and edit or remove existing schedules. For more, see Edit a maintenance schedule and Delete a maintenance schedule.

Create a maintenance type

If you can't find the maintenance type you want, you can add it by typing the name and clicking + Add. This adds the Maintenance type to your account which can be reused across maintenance schedules on all equipment types.

Edit a maintenance type name and pricebook service

  1. On the Add Maintenance Schedule screen, select a maintenance type you want to edit and click  . Interface for adding a maintenance schedule with various maintenance types listed.

  2. In the window that opens, edit the Maintenance Type name and the default Pricebook Service.

  3. When finished, click Save. Editing maintenance type for coil cleaning and selecting default pricebook service.

Delete a maintenance type

You can delete a maintenance type only if it isn't linked to any maintenance schedules. To remove a linked maintenance type, first delete all associated maintenance schedules, and then delete the maintenance type itself.

On the Add Maintenance Schedule screen, select the maintenance type you want to delete and click .

Edit a maintenance schedule

  1. On the Maintenance Schedule table, click More  .

Delete a maintenance schedule

  1. On the Maintenance Schedule table, click More .

  2. Select Delete. Maintenance schedule showing filter change details and options to edit or delete.

If you want to delete a form, you can do it from the Maintenance Schedule table by selecting the form and clicking .
