What's the status of my missing sent PO in the Sent section for receiving and exporting?

Problem

A PO is marked as sent but does not appear in the Sent section. Instead, it is found in the Received section, even though it was sent and received on the same day.

Solution

Locate a Purchase Order (PO) that indicates it was sent but is not visible in the Sent section and make sure bills are batched for export.

Locate missing Sent Purchase Orders for Receipt and Export

  1. Go to the Received section in ServiceTitan.

  2. Look for the PO you are trying to find. It might not be in the Sent section if it was sent and received on the same day.

  3. If you find the PO in the Received section but it hasn't moved over to QuickBooks, check if the bill is batched.

  4. To batch the bill, go to the billing section in ServiceTitan.

  5. Select the bill associated with your PO.

  6. Choose the option to batch the bill. This prepares it for export.

  7. Export the batched bill to QuickBooks. Go to the export section and follow the prompts to move your bill over.

  8. If you don't see the PO or bill immediately, refresh the page. Sometimes, updates take a moment to show.

  9. After refreshing, if the PO or bill appears, proceed with any further actions needed in QuickBooks or ServiceTitan.

Note: POs sent and received on the same day may not appear in the Sent section as expected. Always check the Received section and ensure bills are batched for export.
