Things to know

  • The project record contains all relevant work, jobs, costs, timesheets, documentation, and data for related items on your project. For example, a multi-job project may contain jobs belonging to separate business units. A single job with multiple appointments wouldn't be considered a project.

  • Projects are automatically created when initiating a booking from a sold estimate, or directly from a customer or location record. If an action takes place on a job within the project, it's recorded in the project record.

  • After you have project management enabled for your account, every project page looks like a project management project. You can then choose what projects should be tracked and managed with project management functionality.

  • Full project management functionality is only included in certain packages. Read further to determine if it is enabled for your account. If you have any questions reach out to your ServiceTitan point of contact.

Understand projects in ServiceTitan

Projects help you keep all information about related jobs together. Projects can be created in one of two ways in ServiceTitan. In most cases, the system automatically creates a project for you. For example, after you sell an estimate or a Technician-Generated Lead is created.

After you sell an estimate, you're prompted to book the sold items on the estimate into an install job. After you book that new job, a project is automatically created and contains both jobs. You can also book items from sold estimates into existing jobs if they are part of the same project.

Projects are appropriate for scopes of work where there are no invoicing requirements, such as AIA-styled documents, or where there are no retainage values outlined in the contract.

Common examples of projects in ServiceTitan include:

  • Any job where a sold estimate is booked into a subsequent install job

  • Equipment Change-Outs/Replacement

  • Residential multi-day installations

  • A series of related jobs with different business units

Understand project management projects in ServiceTitan

Project management is a flexible tool that helps you manage and track all of your projects in real time from the project record. You can view the progress of project phases and compare itemized budgeted costs with actual expenditures, all while accessing vital project insights, streamlining cross-department collaboration, and improving cash flow.

Project management projects are appropriate for scopes of work where there are invoicing documentation requirements, where contracts outline and define retainage percentages, or where a continuation sheet or schedule of values is required to receive payment for work performed.   • Track Home Building

  • Commercial Construction

  • Multi-Trade Projects

Determine if project management is enabled for your account

There are several ways to determine if project management is enabled for your account.

The first way to tell if project management is enabled is if the Budget vs Actual table is visible in the Financials section on the project record.

Another way to determine if project management is enabled is to check Settings > Operations > Project Settings. If you can create project labels and set default preferences for your projects in Project Settings, it means your account is configured for project management projects. You can also determine if project management is enabled by checking Settings > Operations > Application for Payment.
