The Items Overview screen shows you a quick overview of your inventory numbers and a detailed table with each inventory item.

Item Overview

The Item Overview screen shows:

  • Inventory Valuation: The total valuation of your inventory.

  • Total Negative Items: The total number of items that are not available in your inventory.

  • Total Items: The total number of tracked items in Pricebook.

The table shows detailed information about each inventory item your company carries.

  • Filter the list using the filtering options above the table. For more, see Filter the items on the table later in this topic.

  • Use the Search field to find a specific item.

  • Organize the table by clicking on a column header.

  • Click Item, On Hold, or On Order in the table to view that item’s information on the item detail screen.

To download the table list as a PDF or XLS file, click Download.

Note: Your download shows the same information as your table, organized in the same way.

Filter the items on the table

The Item Overview screen includes a number of pre-made filters. These let you search by Inventory Tags, Average Cost, and Total Value. Click a filter type, enter your filter, and click Apply.

For more detailed targeting, you can create your filter:

  1. Click Filter .

  2. On the Filtesr pop-up window that opens, use the dropdowns and fields to set your table filters.

  3. When finished, click Apply.

  4. To remove the filter, click Filter . On the Filters pop-up window that opens, click Reset All.

Item details

On the Item Overview table you can find the following information:

  • Item: Hover over the item to see the item code, description, and type of the item.

  • Inventory Tags: Tags assigned to items for tracking, management, and organization within a system or inventory process.

  • Statuses:

    • To Order: Quantity reserved for sold work that needs to be ordered to cover the quantity identified to be procured from a Warehouse or Truck.

      Note: You can order this quantity through Item Requisitions.

    • Available: This is the quantity of items currently available for use or sale. It's calculated by subtracting the Quantity on Hold from the Quantity on Hand.

    • On Order: These are items that have been ordered but haven't yet been received. It represents the quantity of items you are expecting to have in stock once the orders are fulfilled.

    • On Hand: This is the actual physical count of items currently in your inventory. It represents the real-time availability of items.

    • On Hold:

      • Reserved: Quantity identified to complete sold work or replenish another inventory location committed for future use. If more stock is reserved than available, it becomes the Quantity to Order.

      • Staged: Quantity pulled for sold work or replenishment committed for future use. You can't commit or stage more than what’s available.
        Note:  If you enable Negative Inventory, it allows you to have more On Site stock than what you have available.

      • On Site: Quantity used on a job and added to the invoice, but the job isn’t finished yet. You can’t commit more than what's available.

        Note: If you enable Negative Inventory, it allows you to have more On Site stock than what you have available.

  • Avg Cost: The average cost of an item in inventory.

  • Total Value: The overall value of an item in stock.
