Set up Invoices in Compliance with Applicable State Law

Overview

Setting up invoices in compliance with applicable state law in your account better aligns your invoices with your state’s licensing requirements.

Note: Please seek legal counsel to ensure you are meeting all the criteria for your state’s requirements with respect to invoices created via the ServiceTitan platform. The steps provided here are designed to help you navigate ServiceTitan and are not in themselves enough to guarantee compliance.

Feature configuration

  • Account configuration is required to use this feature. Please contact Technical Support for details.

Set up business units

Update your business units (BUs) to ensure the necessary details are included.

To update a business unit:

  1. Go to the navigation bar and click Settings .

  2. In the side panel, go to Operations > Business Units.

  3. Click Edit for the BU you want to update.

  4. On the Edit Business Unit screen that opens, ensure all contact information is present and up-to-date, including business name, address, and other contact details. For more on BU details, see Add and edit business units.

  5. In the License Number field, enter your business license number.

  6. Click Upload to attach a PDF of your Authorization Agreement. Make sure the document includes:

    1. Note About Extra Work and Change Orders

    2. Performance of Extra or Change Order Work

    3. Mechanics Lien Warning

    4. (Optional) Terms and Conditions

    5. Any other documentation required under applicable law

  7. Add a list of the documents included in the authorization agreement to the List of Documents to be Incorporated into the Contract field for each BU.

  8. Edit the customer authorization verbiage to the Authorization Paragraph field to include information about Commercial General Liability Insurance (CGL) and Worker’s Compensation. Be sure that you make selections and populate fields for CGL and Worker’s Compensation.

  9. Review the California Contractor State License Board Notification to ensure the verbiage complies with your company terms. If you need to edit this notification, click Edit Html.

Set up technician profiles

For technicians who are registered with the applicable license board, we recommend that you add their license numbers to their profiles. For more on technician profiles, see Add and manage technician profiles.

To add the license number for a technician:

  1. Go to the navigation bar and click Settings .

  2. In the side panel, go to People > Technicians.

  3. Click Edit for the technician profiles you need to add a license number to.

  4. In the License field, enter the technician’s CSLB license number.

  5. When you’re done, click Save.

Invoice details

When creating invoices, we recommend that you enter the invoice summary in the Summary field under Invoice Details so that the Description of the Project, Description of the Significant Materials to Be Used, and Equipment to Be Installed headers show up on the customer invoice.

Note: When collecting a down payment from a customer, under Add a Payment, we suggest that you enter Down Payment in the Memo field. For more on payment integrations, see Insert the ACH payment authorization agreement into the work acknowledgment template.
