Learn the steps to take when you encounter issues closing a job in ServiceTitan because a managed technician is not detected.

What is a managed technician?

A managed technician is any technician generating revenue for the company. When work is performed, ServiceTitan expects that a managed technician was present, assigned to the job, and properly logged time or actions in the system.

Understand why jobs require a managed technician

ServiceTitan uses managed technicians to track which technician performed work on a job. This ensures accurate timesheets, performance reporting, and smoother workflows. The system verifies that a designated managed technician is associated with the work completed on-site. When this association can’t be verified, you may encounter the Action Required: Managed Technician Not Detected pop-up.

If you encounter this pop-up indicating an issue with the managed technician on a job, follow these initial steps:

  1. Make sure a managed technician is assigned to the job.

  2. Ensure the assigned managed technician is the actual technician who performed the work.

  3. Review the common scenarios below to see if your situation matches and the solution for that scenario. 

If you follow these steps and still can’t close the job, please contact Technical Support for further assistance. You’ll be asked to provide details about the job and technicians involved.

Billing - Memberships or Service Agreements

You created jobs solely for the purpose of generating invoices for memberships or service agreements.

Use the standard billing workflow in the Memberships module.

Billing - Progress Billing

You created jobs solely for the purpose of generating invoices for progress billing on construction projects.

Use the project tracking feature with its built-in progress billing workflow.

Connectivity Issue

The technician couldn’t close out a job due to cellular issues.

Close out the job from the office. The managed technician doesn’t have to be on site when the job is completed.

Counter Sales

You sell items over the counter without dispatching a technician.

We recommend enabling the Point of Sale (POS) module in ServiceTitan. This allows you to process transactions without associating them with a job.

Note: If you’re using the full inventory module with inventory counts, be aware that the POS module does not currently communicate with inventory levels. You’ll need to make manual inventory adjustments to reflect counter sales. Contact Technical Support for assistance with inventory adjustments.

Install Team

A team of installers works all day, but no money is collected.

Set the lead installer as a managed technician and assign them to the job.

No Mobile Device

A particular technician doesn’t use a mobile device.

First, make sure the technician assigned to the job is set up as a managed technician.

Then, an office employee can contact Technical Support for assistance with closing jobs on their behalf. 

You should not see this pop-up going forward.

Remote or Inside Sales

Your remote or inside sales team generates estimates and closes deals without a technician visiting the site.

Make sure the salesperson who provided the estimate is set up as a managed technician in ServiceTitan.

Missed Close Out

A technician leaves a job site without closing the job in ServiceTitan.

Office employees can typically close out these jobs.

Subcontractors

Subcontractors perform work on your jobs.

Any subcontractors who serve in a service technician capacity should be set up as a managed technician in ServiceTitan and assigned to the job.

Technician Departure

A technician is leaving your company.

We recommend following this workflow:

  1. If the technician is currently inactive, reactivate their profile to proceed with reassignment or final steps.

    Note: Reactivating a managed technician's profile triggers billing.

  2. Remove the technician’s mobile access.

  3. Find all the open jobs assigned to the technician.

  4. Review the list of jobs. Depending on the job status, perform the appropriate action on the jobs, such as marking them complete or reassigning them to a different technician.

  5. After handling all in-progress jobs, you can deactivate the technician.
