Overview

Project Plan allows you to group project tasks and jobs into structured phases with clear timelines, helping you track progress and keep projects on schedule. You can also view your plan as a Gantt chart, so you can visualize your progress chronologically. Built directly into the project record, Project Plan ensures you can keep all of your organization in one place.

Things to know

  • When a new group is created, it is collapsed by default. Click the arrow next to its name to open the group and see the tasks, jobs, and subgroups inside it.

  • Groups, tasks, and jobs can be moved and reordered by dragging and dropping them. Reordering requires dropping the item exactly where the cursor is.

  • You can't delete a group if it has any subgroups, tasks, or jobs inside it.

Build a project plan

A project plan is made up of headers called groups. Each group is then made up of tasks and jobs representing the work that needs to be completed for that phase of the project. You can also create subgroups with their own tasks and jobs.

To create a project plan:

  1. Go to the project you want to make a plan for.

  2. In the side panel, go to Project Plan. Any jobs or tasks that have already been created for this project are populated. Project management dashboard displaying tasks, assignments, and project status for construction.

    Note: If you don't see the Project Plan section, make sure it is marked as visible under Project Type settings.

  3. Click Add Group and enter a Name, Start Date, and End Date.

  4. Click Create to confirm your choices. Form for creating a new group with permits, start and end dates.

  5. To move an existing task or job into the group, click Moreand select MoveProject plan table showing tasks, assignments, and options to add or move items.

    Tip: You can also move tasks, jobs, and groups by dragging and dropping them around the table.

  6. Select the group you want to move the task or job to and click Move to confirm your choice. Interface for moving tasks between groups, selecting either Permits or Project options.

  7. To add a new task or job to the plan, click Add Task or Add Job.

  8. To manually create a new task or job, select Add Task or Add Job from the dropdowns. Interface for moving tasks between groups, selecting either Permits or Project options.  

    Tip: You can also add tasks and jobs by clicking Morefor the group you want.

  9. Fill in the task or job's details and click AddForm to add job details including type, date, time, and technician information.

  10. To use templates, select Add Task Template or Add Job Template from the dropdowns.        

    Note: Templates require account configuration. See Project, job, and task templates overview for more information.

  11. Apply the task or job template to the project.

  12. Repeat steps 3-11 until the plan is complete.

Use Edit Mode

To make bulk changes to the groups, tasks, and jobs in a project plan:

  1. Go to the project you want.

  2. In the side panel, go to Project Plan.

  3. Click the Edit Mode toggle. Project plan showing tasks, assignments, and statuses for permits and installation jobs.

  4. Click any fields with an edit pencil   and make your changes.  

    Note: The Assigned To and Status fields for jobs can only be edited on the job record. To edit the Name field, change the job's job type.

  5. When finished, click Edit Mode again.

Export a project plan to Excel

To view a project plan in an .xlsx sheet:

  1. Go to the project you want.

  2. In the side panel, go to Project Plan.

  3. Click Export. The project plan is automatically downloaded to your device in a .xlsx format. A user clicks the Export button in a project management interface.

View a project plan as a Gantt chart

If you want to view a project plan as a timeline:

  1. Go to the project you want.

  2. In the side panel, go to Project Plan.

  3. Click the Gantt tab.

  4. Click Days, Weeks, Months, Quarter, or Year to filter the chart accordingly. Gantt chart displaying project tasks, durations, and completion percentages for planning.
