Configure Auto-Adjustment for Appointments

Overview

The Appointment Duration configuration allows you control how appointment times appear on the Dispatch Board. You can choose whether appointments reflect the scheduled time or the actual time your technician was on-site.

Things to know

  • Auto-adjust appointment is turned off by default and appointments show the scheduled start and end times.

  • When you turn it on, appointments show:

    • Start: Technician's first arrival time. The appointment block also shifts to the actual dispatch timestamp when a technician is dispatched.

    • End: When the technician marks the appointment complete.      

      Note: The End time only refers to the time on the completed appointment, not the technician's timesheet.

    • Duration: Calculated from actual start to end. If a job runs past the scheduled end time, the appointment block expands automatically.

  • Applies to both Daily View and Weekly View of the Dispatch Board.

  • If you change the setting during the day, only new appointments completed after the change follow the new behavior.

Configure Auto-Adjustment for Appointments

  1. Go to the top toolbar and click SettingsA simple icon representing a settings gear..

  2. In the side panel, go to Dispatch Board>Appointment Duration.

  3. On the Appointment Duration screen that opens, turn on the Auto-adjust job appointments to actual duration toggle.Toggle switch for auto-adjusting job appointment duration with a save button below.

  4. When finished, click Save.

Now, appointment times on the Dispatch Board reflect the technician's actual time on-site, from first arrival to job completion. Appointment blocks also shift to the actual dispatch timestamp when a technician is dispatched and expand automatically when a job runs past its scheduled end time. Note: Since this tracks the time from the first arrival to appointment completion, we recommend not rescheduling once the appointment is marked as Done. Instead, add new appointments to track any subsequent dispatches for the job.
