What is the main purpose of the Centralized Pricebook module in the Enterprise Hub?

The Centralized Pricebook allows users to manage and update pricebook across multiple tenants from a single, centralized location. It streamlines adjustments, such as pricing changes across various tenant accounts. For more, see Centralized Pricebook in Enterprise Hub.

What are the key benefits of using Centralized Pricebook?

  • You can save time, particularly as the number of tenants grows.

  • Administrators can make a single update that is automatically pushed to all tenants, ensuring consistency and reducing administrative overhead.

  • Centralized Pricebook allows controlled editing through locked fields, ensuring tenants can only modify specific sections of their pricebook.

Who should use the Centralized Pricebook training?

This training is designed for Mega+ administrators and managers overseeing multiple tenant accounts in Enterprise Hub. It is tailored to help these users effectively manage their pricebook on a large scale.

What are the options to set up a Centralized Pricebook?

Administrators have two options:

  • Start a new Centralized Pricebook from scratch

  • Export a tenant’s Pricebook and import it into Centralized Pricebook

How can I update my Centralized Pricebook?

Changes made in the Centralized Pricebook immediately appear based on the configured Automation Settings. For the fields that tenants need to manage locally, administrators can set these fields to Auto Dismiss in the Locked Fields section.

When do I need to Push to Tenants?

Click Push to Tenants to push an update for new items or push the entire pricebook to a new tenant. In other cases, updates will be automatically applied based on the Automation Settings you set.

What should I do when adding new items to Centralized Pricebook?

When you add new items, you should select them and then click Push to Tenants to distribute these items across all tenant pricebooks. Or, you can go to Pricebook Connect in the tenant Pricebook to add new items from the catalog to your pricebook.

What is the purpose of Automation Settings and why are they important?

The Automation Settings are designed to control how updates from Centralized Pricebook are applied to the tenant's pricebook. These settings offer flexibility in managing changes across different fields in pricebook.

  • Auto Dismiss: This setting allows the Centralized Pricebook owner to specify that changes made to certain fields should not be automatically applied to the tenant's Pricebook. Instead, these changes are sent to the Dismissed section in the tenant's Pricebook Connect.

    • Use case: It is useful when updates made at the central level aren’t applicable or required for all tenants. For example, a pricing change or a promotional offer that should not automatically override existing tenant-specific settings.

  • Auto Update: This setting enables automatic changes in Centralized Pricebook with immediate reflection in the tenant’s pricebook.

    • Use case: It is essential for fields where consistency is critical across all tenants, such as compliance-related adjustments or universally applicable service modifications.

  • Manually Manage: With this setting enabled, changes made in Centralized Pricebook aren’t automatically reflected in the tenant’s pricebook. Either the Centralized Pricebook owner pushes these changes or the tenant accepts manually from their side.

    • Use case: This setting is suitable for changes that may need tenant approval or review before implementation, granting tenants the autonomy to accept or reject updates based on their specific needs and circumstances.

These settings ensure administrators control how changes in the centralized Pricebook affect individual tenant pricebooks, allowing for centralized management and tenant-specific customization. This flexibility is crucial for maintaining the integrity and relevance of pricebook across a diverse set of tenants.

What are Locked Fields and why are they important?

  • Locked Fields give users control over which aspects of a pricebook tenants can edit. This feature is essential for maintaining consistency in certain areas while allowing flexibility in others, depending on the specific needs and policies of the organization.

  • Locked Fields benefits:

    • Consistency and Compliance: Ensuring that critical information remains consistent across all tenant pricebooks. It’s important for regulatory compliance and standard operating procedures.

    • Control and Oversight: Providing administrators the ability to maintain oversight over what can be changed at the tenant level, thus preventing unauthorized or unintended modifications.

    • Flexibility and Customization: Allowing tenants to modify some fields to tailor their pricebook to local market conditions or specific business needs while keeping other fields standardized across the organization.
