Book sold estimate items into existing jobs

Overview

Using the Job screen, you can book additional items to an existing job. This is useful in cases where customers purchase multiple estimates you want to complete in one job, or if you forgot to add an item to a job.

Things to know

• The Select Existing Job button won't appear if:        

  • The Sold by credit on the estimate items being added doesn't match the Sold by credit on the job you are adding items to.

  • The job you are trying to book estimate items into is the same job that created those estimate items.

  • The job that the estimate items were created on and the job that you are trying to add estimate items to are not in the same project.

• If you don't see the Select Existing Job option in a requisition, click Initiate Booking.

Book items from sold estimates into existing jobs

To book a sold estimate into an existing job, the job where the estimate was sold must be part of a project. Additionally, the project must have another job attached where the sold estimate can be booked. You cannot use the same job where the estimate was originally sold; a separate job must be created within the same project.

1. Go to the project that contains both the job with the sold estimate and the job into which you want to book items from the sold estimate.        

   Tip: You can use Search to find the project, one of the jobs within the project, or the customer/service location for the project and jobs.

2. Make sure that both jobs are part of the same project, then click the job with the sold estimate.

3. Click the sold estimate for the job.

4. Click View Opportunity. 

5. Click View Sold Estimate.

6. Click Initiate Booking. 

7. Check the estimate items you want to book into the existing job. You can also click Check All to include all of them.

8. After selecting the sold estimate items, click Select Existing Job. 

9. In the pop-up that opens, click the correct existing job.

10. (Optional) Select the assigned technician who will use the selected item on the job.

11. When finished, click Submit. 

On the sold estimate screen, you see the job number for the existing job you chose.
