Overview

Create personalized and engaging invoice emails to send to your customers with one click using Titan Intelligence. This saves you time and enhances your customer communication. You can decide which invoice values to use and the overall email tone and structure of your emails.

Things to know

  • This feature is not available in ServiceTitan Mobile.

  • This feature does not override the content and fields defined in your email templates. Instead, it generates new email content for you to choose from when sending out invoice emails.

  • When writing your prompt, be clear and specific. We recommend you try out different prompts and preview the email test results to determine which prompt best suits your brand.

Set up invoice email prompt for Titan Intelligence

Prompts are special instructions used by Titan Intelligence to create your email message. With prompts, you can determine the tone and style of your message, ensuring that your messaging matches your company brand.

Use the Generative Content Rules screen to create the prompt to be used by Titan Intelligence to generate your invoice emails. This screen also guides you through creating your prompt.

To set up your invoice email prompt:

  1. Go to the top toolbar and click Settings .

  2. In the side panel, click Invoicing > Generative Content Rules.

  3. On the Generative Content Rules screen that opens, click the Invoice Email tab.

  4. In the Invoice Email Prompt section, click Enter Prompt to Begin.

  5. In the Invoice Email Prompt pop-up that opens, enter your prompt or instructions.

    Note: The pop-up gives you directions on how to write your prompt and provides you several examples.

  6. When finished, click Next

  7. Another pop-up opens, asking you to review a summary of your prompt. Review your original prompt in the Your Prompt section and ServiceTitan’s summary in the Our summary of your prompt section.

    Note: If you’re not satisfied with the summary of your prompt, click Try Again to edit your prompt.

  8. When finished, click Done.

  9. In the Prompt Test Settings section, select the invoice fields you want to include in your generated email.

  10. (Optional) Enter an existing invoice number in the Invoice Number search field to use that invoice to test your prompt.

  11. In the Test Email Results section, click Generate Test Email to preview your generated email.

  12. When finished, go to the Prompt Configuration section and click Save as Current Prompt to save your prompt.

  13. Click the Generative Invoice Email option to enable this feature.

  14. Your saved prompt appears in the Current Prompt section of the screen and includes invoice fields you selected.

Edit your invoice email prompt

  1. Go to the top toolbar and click Settings .

  2. In the side panel, click Invoicing > Generative Content Rules.

  3. On the Generative Content Rules screen that opens, click the Invoice Email tab.

  4. In the Invoice Email Prompt section, click Edit Prompt.

  5. On the pop-up that opens, make changes to your existing prompt.

  6. When finished, click Next.

  7. On the pop-up that opens, review the prompt summary and click Done.

  8. On the Generative Content Rules screen, in the Prompt Test Settings, make any additional changes by selecting or removing the invoice fields.

  9. In the Test Email Results section, click Generate Test Email to preview your generated email.

  10. When finished, click Save as Current Prompt

  11. The Current Prompt section of the screen updates to show your new prompt.

Generate your invoice email using Titan Intelligence

Before generating your invoice email using Titan Intelligence, make sure the Generative Invoice Email toggle is switched on in the Generative Content Rules screen.

You can generate your invoice email using Titan Intelligence in two ways:

  • From the invoice screen

  • From the Transaction Hub invoices module

From the invoice screen

  1. Go to the invoice screen from either the Customer Record or the Job record. Alternatively, you can search for the invoice.

  2. On the invoice screen, click the Email icon.

  4. The Body field clears and updates with a new email message. Review the new email message.

  5. When finished, click Send.

From the Transaction Hub invoices module

  1. Go to the top toolbar and click Accounting .

  2. In the side menu, click Invoices.

  3. Find the invoice you want to email and click the Actions icon.

  4. From the Actions dropdown, select Email Invoice.

  5. On the Email Invoice screen that opens, click Generate Email Body.

  6. The Body field clears and updates with a new email message. Review the new email message.

  7. When finished, click Send.
