Manage accounts receivable with the AR Management tool

Overview

AR Management is a screen in the Accounting module that helps you track and act on customer balances in one place. From it, you can filter customers by balance, aging, business unit, and more, then email or print statements and charge outstanding balances—for one customer or in bulk. It gives bookkeepers and office staff a single view for collecting on accounts receivable instead of working customer by customer.

Feature configuration

  • The AR Management permissions are required to use the Charge Balance action. Please contact the account administrator on your team.

Things to know

  • This screen only pulls data from posted and exported invoices. An invoice or adjustment invoice that's still Pending (not Posted) shows on the customer profile but won't appear here until it's posted or exported.

  • Invoice balances shown depend on invoice status, including adjustment invoices. To make a specific invoice appear, confirm it's posted.

  • Refunded payments with a negative balance also appear on the AR Management screen.

  • Use the column filters and sorting to narrow the list—for example, set Balance greater than $0 to show only customers who owe.

  • The filters available are: Date Range, Business Unit, Customer Type, Min Days Past Due, Payment on File, Email Preference, and Status. See the filter reference below.

  • A newer Accounts Receivable Transaction Hub also exists in ServiceTitan. [VERIFY — confirm whether the Transaction Hub supersedes or complements the AR Management screen]

Filter reference

  • Date Range: Start and end dates to filter statements. Leaving From blank goes back to the start of your ServiceTitan usage; leaving From blank is advised.

  • Business Unit: Customers with an invoice in a specific business unit. This filters the balance to outstanding invoices in that BU.

  • Customer Type: Customers with an invoice tied to a specific customer type.

  • Min Days Past Due: Customers with an invoice overdue by at least the chosen number of days.

  • Payment on File: Customers who have a payment method on file.

  • Email Preference: The customer's statement delivery method (mail, email, or both).

  • Status: Statement status (sent, not sent, or both).

Actions reference

From the Actions dropdown:

  • Email Statements: Review email details, optionally select Attach copy of the invoice(s), click Preview, then Send.

  • Print Statements: Opens a new browser tab with PDFs of the selected statements to download or print.

  • Print Statements and Mark as Sent: Opens the PDFs and marks each customer's Status as Sent on [date].

  • Charge Balance: Bulk-charges customers for their outstanding balance when they have a payment method on file. Requires permission. See Bulk charge customers.

Use AR Management

  1. Go to the navigation bar and click Accounting, then click AR Management in the side menu.

  2. Set your filters: Date Range, Business Unit, Customer Type, Min Days Past Due, Payment on File, Email Preference, and Status. (See the filter reference above.)

  3. To act on one customer, use the row-level options to receive a payment, email a statement, or print a statement. 

  4. To act on many at once, select customers (or use Select all), then use the Actions dropdown to email statements, print statements, or charge balances. 

  5. If you choose Charge Balance, decide whether to charge the statement balance as of a particular date or just the customer's current outstanding balance. 

Add and remove customers from email statements

  1. Go to the navigation bar and click Accounting, then click AR Management in the side menu.

  2. Select customers, or click Select all.

  3. From the Actions dropdown, select Email Statements

  4. In the Email Statements window, click the dropdown arrow in the To section to view the email addresses set to receive each customer's statement.

  5. To include invoice copies, scroll to the bottom and select Attach Copy of Invoice(s).

  6. Click Preview to review the statement (and attached invoices), or click Send to send.         

    Note: Customers without a saved email address on their profile are highlighted in red.

    Tip: If only one email address is stored on the customer profile, only that address shows. If multiple email addresses are stored, a Show All Emails option appears. To remove an address from a multi-email customer, click Show All Emails, then click the Remove icon next to the addresses you don't want.
