Fill schedule gaps with Appointment Move Up

Appointment Move Up now works for any Voice Agent account, not just Dispatch Pro customers, so your office can text customers about earlier openings by simply tagging the job. This feature is currently in Private Preview and not available for all accounts.

What's changing

Before, Appointment Move Up only worked automatically for accounts with Dispatch Pro, whose gap-finding tools found an opening and handed one specific time to the texting agent. Accounts without Dispatch Pro had no way to use Appointment Move Up at all. Now, a dispatcher on any Move Up-enabled account can create job tags, map each tag to a rescheduling window, and apply the tag to a job on the schedule board. That tag alone triggers ServiceTitan to text the customer and offer the earliest matching option, no Dispatch Pro required.

Workflow comparison — before & after

← Before
✓ After
1.A dispatcher notices a cancellation opened up an earlier slot.
1.The dispatcher sets up a few tags in Move Up campaign settings, each mapped to a rescheduling window: any earlier time, earlier the same day, or no sooner than a set number of days from today.
2.They call customers one by one to see who wants to move up.
2.When a job could move earlier, the dispatcher applies the matching tag from the job on the schedule board.
3.If a customer doesn't answer, the dispatcher tries again later or leaves the schedule as is.
3.ServiceTitan texts the customer with the earliest available option inside that window and books the change if they agree.
⚠ Filling gaps depended entirely on manual phone outreach, so many openings went unfilled.
✓ Your office spends less time on manual calls, and more gaps get filled automatically.

How it works for your industry

Residential Service and replacement
  • A residential HVAC company gets a same-day cancellation. Instead of calling five customers one by one, the dispatcher tags the next few scheduled jobs "move up if earlier today," and ServiceTitan texts each customer about the open slot.
  • A plumbing company wants to offer earlier slots, but only if it's still at least two days out so the office can plan around it. They set up a "no sooner than 2 days" tag and apply it to jobs they're comfortable moving.
  • An electrical contractor without Dispatch Pro has been manually calling down a list of move-up candidates. Now the office tags those jobs once, and the texting happens automatically, freeing up staff time for other calls.

How to prepare

01
Have an administrator reach out to Support or your Customer Success Manager (CSM) to get manual mode enabled for your account.
02
In Move Up campaign settings, choose the manual scheduling option and decide whether to accept any earlier opening or map specific job tags to windows.
03
Create no more than a few job tags for this. Most companies only need one to three.
04
Train dispatchers on which tag to apply and when, and note that the tag stays on the job afterward, it isn't removed automatically.
