Book with your tag rules using Tags for Virtual Agents

Tags for Virtual Agents lets your Virtual Agent use your tags when it checks Adaptive Capacity and apply booking tags you approve, so the times it offers and the jobs it books follow your rules.

What's new

Before, Virtual Agent checked Adaptive Capacity using only the job type, business unit, and zone. Tag rules you built in Adaptive Capacity did not shape the times it offered.

Now, you decide in Skills and Capabilities whether Virtual Agent uses tags at all. When you turn on Send tags to Adaptive Capacity, you choose which tags it uses: tags already on the existing job, tags on the service location, membership tags, service location tags, customer tags and tags linked to the job type. For each source, you decide whether a tag is a hard requirement. If a tagged request returns no times, Virtual Agent tries again with only your hard requirements. If that still returns nothing, the call goes to a live agent. When Virtual Agent books, it adds the tags it used to the job.

You can also approve booking tags. On the new Tags screen, you choose which tags Virtual Agent may apply, and you write instructions that tell it when to use each one, such as when a caller asks about replacing a system. Virtual Agent compares your instructions with the conversation before it checks availability, and applies a tag only when it fits. It can only use tags from your approved list and cannot create new ones.

How it works for your industry

Residential Service and Replacement
  • A heating, ventilation, and air conditioning (HVAC) company tags member service locations with Blue Membership, tied to a priority rule. Virtual Agent now includes that tag, so a member with a broken air conditioner is offered the priority times.
  • A plumbing company tags a job Parts Arrival when an ordered part comes in. When the customer calls back, Virtual Agent uses the existing job tag to find a time that fits your parts rule.
  • An HVAC company approves a Replacement Opportunity tag with instructions to apply it when the caller says the system is 12 or more years old, has had repeated repairs, or asks about replacing it. Virtual Agent applies the tag during the call, and your team sees it on the job.

How to prepare

01
Confirm the tags you want are turned on in your Adaptive Capacity settings. Tags that are not turned on do not change the times offered.
02
Check which tags are tied to Dispatch Pro skills. Those tags limit offered times to technicians with the skill.
03
Choose which tag sources the agent uses, and which are hard requirements. Use hard requirements sparingly, because they are never dropped.
04
Add the booking tags you want. Pick each tag from your list and write specific instructions, because they are the only signal the agent uses to decide. Turn on only the tags you want applied.
