Create a report to see list of POs where the Bill has not been created: recommended workflowLast updated on 12/23/2021

If you use inventory in ServiceTitan, you have the ability to turn off a setting that automatically creates a bill when a PO is received. As bills are what are exported to QuickBooks as part of the purchasing process, it may be necessary to find those outstanding POs where a bill has not been created for accurate accounting and inventory.

This article provides the reporting solution to find received purchase orders where a bill has not been created.


Things to know

  • The report is filtered to look for any Receipts (which are generated automatically when a PO received) that have a “N/A” date billed. As only receipts that have not generated a bill will be without a date billed date, the report provides the list of needed POs.


Workflows

Build a Report to isolate received POs without a created Bill

The workflow to find the POs will involve building a custom report and filtering the correct column to isolate the information needed.

  1. Go to the navigation bar and click Reports.

  2. Click Create Reports button in the top right corner of the screen

  3. Choose the “Purchasing & Inventory” report type and then select the “Inventory” report template

  4. Include the following columns as well as any additional columns desired and Click Next

    1. Transaction Type

    2. Transaction Number

    3. Date Received

    4. Date Billed

  5. Name the report, choose the category and click Next

  6. Once in the report, click the antenna in the “Transaction Type” column and filter the column to CONTAIN the word “Receipt”

     

  7. Next click the antenna in the “Date Billed” column and filter the column to “Is Null”

  8. In the filters at the top of the report, choose the date range for the Received Dates for which you are looking for the POs in the “From - To”. Leave the other filters to “All”

  9. Click Run Report
