Exporting to multiple Quickbooks company files: Recommended WorkflowLast updated on 02/11/2022

This article explains the proper workflow for exporting to multiple Quickbooks company files.


Things to know

Before exporting to multiple company files it is important to bear in mind and share with the tenant the following:

  • Exporting to multiple company files makes reconciling more difficult. This is because you will always need to determine the sum of all QB reports between the different files in order to reconcile with ServiceTitan.

  • If you export to the incorrect file, there is no way of easily correcting this on your own.

  • If you understand the above consequences and would still like to export to multiple company files, follow the steps for your Quickbooks versions: Quickbooks Desktop 2.0, QuickbooksDesktop 1.0, or Quickbooks Online.


Workflows

Quickbooks Desktop 2.0

When using the Quickbooks Desktop 2.0 web connectors, exporting to multiple company files is done by Batch.

  1. Open the Quickbooks company file to which you wish to export.

    1. Note* Make sure to close all other company files.

    2. Note* Make sure you have an active connection with both QB files.

    3. Remember that Business Units need to be mapped before exporting.

  2. Export the batch. For more information, see Export to QuickBooks Desktop from ServiceTitan

    1. Note* If you post a batch using one company file and export the batch using a different company file you will get one of two errors: either “Object specified cannot be found” and/or “Active Connection Cannot be Found”. You will need to re-batch to the correct company file and then export. To re-batch you will unpost the batch > un-batch the items in the batch > click on Un-Batched > select all the items by clicking on the boxes next to the items you want to export > Click Batch Selected. Whichever company file is running at this time will be the company file this new batch will be associated with.


Quickbooks Desktop 1.0

When using the Quickbooks Desktop 1.0 web connectors, exporting to multiple company files is done by Business Unit.

  1. Open the Quickbooks company file to which you wish to export

    1. Note: Make sure to close all other company files

  2. Export the batch. For more information, see How to export a batch to Quickbooks Desktop.


Quickbooks Online

We do not recommend exporting to multiple company files with QBO.
