Over 40 hours of Regular Time appearing in Timesheet Summary ReportLast updated on 05/12/2023

This article helps you understand how to calculate Regular Hours and Overtime correctly based on the Overtime rules in Settings.


Problem

The problem is that a technician has more than 40 hours of Regular Time during a period in the Technician Timesheet Report. Normally, anything over 40 hours should qualify as Overtime.


Solution

Determine Overtime Settings and Pay Period Start

To determine overtime settings and pay period start:

  1. In ServiceTitan, go to the navigation bar and click Reports.

  2. In the Search field, enter Technician Timesheet Summary.

  3. Select the Technician Timesheet Summary report.

    The Technician Timesheet Summary Report screen opens.

  4. Select the technician and date range where the issue is occurring.

    In the example below the issue occurs with technician Charles for the 7/8/2021-7/14/2021 date range. When we run the report we can see that Charles has 47 h 46 m of Regular Time and 0 h 00 m of Overtime.

  5. In ServiceTitan, go to the navigation bar and click Settings.

  6. Go to People > Technicians.

  7. Find the technician Charles.

  8. Click Edit.

    The Edit Technician - Charles screen opens.

  9. Go to the Payroll tab to determine the technician’s Overtime settings.

    We can see that Charles has Standard Overtime settings, which means that any hours over 40 in a week should be Overtime. To learn more about different types of Overtime, see Manage overtime settings.

  10. In ServiceTitan, go to the navigation bar and click Reports.

  11. In the search field, enter Technician Timesheet Summary by Pay Period. Note: Overtime calculations are determined by pay period. A pay period is always 7 days and begins on a set day of the week.

    On this screen, we see that the pay period runs from 7/9/2021-7/15/2021, which means that running the basic Technician Timesheet Summary report from 7/8/2021-7/14/2021 combines regular hours from two different pay periods. That is why the Regular Time calculation is over 40 hours.

  12. Run the Technician Timesheet Summary by Pay Period report for the 7/9/2021-7/15/2021 pay period.

Technician Charle’s Regular Hours and Overtime are calculated correctly based on the Overtime rules in Settings. Note: If the start of the pay period isn’t on the correct day of the week, contact your account manager.
