Inventory transfers overviewLast updated on 04/15/2023
Use transfers to move inventory items between two different inventory locations. The transfer can occur between two trucks, two warehouses, or between warehouse and truck. This helps track your inventory items more precisely. Transfers make it easier to account for all inventory items at all times. To start, click Inventory from the navigation bar, then select Transfers.
Transfers page
The Transfers page includes detailed information about transfers in different statuses, including:
Pending—The transfer has been created but no further action has been taken yet.
Picked—The items in the transfer have been removed from the origination location but are not yet at the destination location.
Received—The items in the transfer are now at the destination location. The transfer is complete.
Canceled—The transfer has been canceled, and no items have been moved.
There is a number next to the tab that shows how many transfers can be found there.
The Transfers page includes a number of pre-made filters. These let you search by Transfer Type, Transfer Number, Reference No., Date From, Date To, Transfer From, Transfer To, or Created By. To apply a filter, from the filter dropdown, select the filter type you want. To remove the filter, click Clear Filters.
Make a bulk transfer by downloading and importing an XLSX template to create transfers between inventory locations quickly. For more information, see Download and import a transfer XLSX template for details.
Create a new transfer. For more information, see Create, edit, and copy inventory transfers.
Once the transfer is created, it is in Pending status. To transfer these items, pick them up. For more information, see Inventory item transfer workflow.
Download the table list as a PDF or XLS file. For more information, see Download transfers.
You can cancel a transfer when it is no longer needed or was added in error. For more information, see Cancel transactions.
You can organize the table by clicking on a column header.
Click on the transfer in the table to view more details about that transfer. For more information, see Create edit, and copy transfers.
Download and import a transfer XLSX template
To download the XLSX template:
Go to the navigation bar and click Inventory
.
From the side menu, select Transfers. The Transfers page opens.
From the Arrow dropdown, select Download a Template.
An XLSX file downloads to your device.
Open the XLSX file in a spreadsheet application and enter the transfers into the XLSX sheet:
Import Reference—Unique number you create to reference later if needed
Reference Number—Unique number you create for ServiceTitan to track
Memo—Note any additional information specific to the item
Transfer Date—Date you start your transfer
Transfer Type—Standard or Replenishment
Item Code—This should match the one you have for that item in your pricebook. Item codes must be tracked as inventory in the Pricebook.
Transfer From—Location item will transfer from
Transfer To—Location item will transfer to
QtyStatus to transfer—Number amount of the item that will transfer
Status—Pending, Picked, or Received
To import a template
Go to the navigation bar and click Inventory
.
From the side menu, select Transfers. The Transfers page opens.
From the Arrow dropdown, select Import a Template.
From your device, select the XLSX file to import and click Open.
Your imported transfers are added to the Pending, Picked, or Received tab depending on which status you enter in the Status column on your template.
Download transfers
Go to the navigation bar and click Inventory
.
From the side menu, select Transfers. The Transfers page opens.
Click the Pending, Picked, Received, or Canceled tab and select the transfer you want to download. Note: You can download transfers in bulk by selecting more than one transfer.
From the Download dropdown, select the format you want to download the transfer.
Note: If you download the transfers in the XLS (Single File) format, all the transfers will be downloaded in the same XLS file. If you download the transfers in the PDF (Rollup View) format, all the transfers will be downloaded in the same combined PDF file.
The Transfer file downloads to your device.
